Your Opportunity:


The provincial IPC Program is seeking an enthusiastic, independent, and attentive individual with exceptional communication skills to provide executive support to the Provincial Infection Prevention & Control Program.

Reporting to the Provincial Director of the Infection Prevention and Control (IPC) Program, the Administrative Assistant position provides senior administration services and support to the Offices of the Senior Provincial Director and Senior Medical Lead for Infection Prevention and Control, and works closely with the IPC Senior Leader team and their associated administrative teams of portfolios reporting to the IPC Senior Provincial Director the IPC Physicians and IPC designated Medical Officers of Health in all zones, as well as other various AHS Vice Presidents, AHS Senior Leaders and the associated administrative teams of each.

The position is responsible for providing high level, comprehensive administrative support to the portfolio, including preparation of business documents and reports, managing schedules, appointments, meeting logistics, and monitoring and completion of follow-up actions.

The incumbent acts as a liaison between key stakeholders, and the Provincial IPC office, and as such must provide a high standard of interpersonal communication and demonstrate confidentiality, flexibility, and initiative.

The incumbent uses independent judgement regarding work expectations to meet objectives and problem solve.

To be effective, it is critical that the incumbent exercise critical thinking, problem solving and formal and informal leadership skills.

The position requires a full understanding of the portfolio and frequently represents the portfolio as the first point of contact.

Required Qualifications:

Administrative Assistant certificate and/or diploma or its equivalency. 5 years or more experience in supporting key senior leadership - advanced, diversified, and comprehensive administrative expertise. Exceptional planning and organizational skills. High degree of initiative, confidence, and self-direction. Strong team player with a willingness to assist in various tasks. Demonstrated ability to manage time and resources to accomplish goals. Excellent interpersonal skills. Ability to handle frequent interruptions and changes in priorities. Effective problem-solving skills with a strong attention to detail. Ability to handle sensitive and confidential material with the utmost professionalism. Strong technical capabilities, including advanced working knowledge of MS Office, Outlook, PowerPoint, and SharePoint.

Preferred Qualifications:


The successful applicant will be able to work in a fast paced/high demand environment with the flexibility to easily shift tasks as required.

Considerable working knowledge of AHS systems, procedures and policies pertaining to information management and human resources. Attention to detail and thoroughness with assigned tasks is essential. Previous exposure to and work within a hybrid team structure.
