Position Title:

Clinic and Administrative Assistant


Employment Type:

Fixed-term contract with possibility of becoming permanent; 30-40 hours per week

We are looking for an energetic, highly motivated, detail-oriented, and goal-achieving Administrative Assistant/Optometric Assistant to join our amazing team. This role will be exposed to multiple areas of the business providing much opportunity to learn and grow.


Duties:


  • Perform OCT and pretesting for Optometrist appointments
  • Data entry using online systems and scanning files as necessary to support Optician and Optometrist
  • Track patient referrals to specialists (e.g. faxing reports, following up with patients to inform them of their appointment date/time, etc.)
  • Conduct recalls to schedule appointments for previous patients and customers
  • Disinfect frames and work surfaces between each customer visit and return frames to display in the appropriate place; clean displays, cabinets, and glass on windows/doors; vacuum and perform other general cleaning duties as needed.
  • Overall coordination of the patient and customer schedules for the Optometrist and Optician; provide reminders for appointments to patients
  • Complete paperwork and file information related to customer/client/patient records, eye prescriptions, eyeglass orders, invoices, returns, payments.
  • Take payments from customers and complete sales sheets as required
  • Direct bill through various insurance platforms
  • Help to create and maintain displays in store
  • Providing backup to the Sales Associate and Optician with optical sales and repairs as required
  • Support duties related to maintaining accurate inventory, including entering new stock, packaging lab shipments, and bookkeeping
  • Other duties as assigned by management

Job Requirements:


  • 2+ years of experience in an administrative, optical, or medical environment is highly preferred
  • Completion of a high school diploma
  • A professional, honest, and funloving attitude with a strong passion for delivering high quality customer service that makes people happy
  • Excellent verbal and written communication skills is a must; Must be fluent in English
  • Strong multitasking, timevmanagement, and organizational skills
  • Experience scheduling, reporting, ordering, inventory management, and other administrative duties
  • Ability to stay calm when presented with challenging customers
  • Highly detailoriented and able to learn and use new technologies; Proficient in MS Office products; Typing skill at 5060 WPM
  • Interest in eyewear trendsvand a good eye for fashion
  • Experience in insurance billing is considered an asset

Job Types:
Full-time, Part-time, Permanent, Fixed term contract

Contract length: 12 months

Part-time hours: 30 per week


Salary:
$18.00-$19.00 per hour
