    Your Opportunity:

    Under general direction of the Manager, Academic HR, the incumbent is responsible for a full range of academic human resource services and planning. The Academic HR Advisor provides administrative support with respect to matters associated with tenure stream and teaching stream faculty and other appointments. The incumbent reviews, advises and prepares correspondence on behalf of the Dean/Vice-Dean Faculty in matters relating to the employment of academic staff; provides advice on the interpretation and application of HR policies and procedures as they pertain to academic searches, appointments, promotions, tenure, continuing status, interim and probationary reviews, leaves, salary administration, and retirement options to ensure compliance with University policies and procedures. Additionally, the incumbent will take on new tasks or projects, assume responsibility for on- going projects and undertake research on a wide variety of issues and topics related to academic human resources issues at the University of Toronto Mississauga.

    The incumbent is also responsible for the planning and implementation of projects related to the improvement of the Campuses academic HR processes. The responsibilities of the incumbent will continuously evolve and they must be flexible and willing to respond to the given priorities of the day and be willing to work collaboratively and cooperatively in a dynamic environment.

    You will contribute to the mission by:

    • Developing and maintaining a sound understanding of academic HR policies, internal practices, guidelines, and procedures, and collaborates with departmental contacts on all elements of implementation.
    • Advising Chairs, Directors, Business Officers and Chair's/Director's Assistants on the interpretation and application of policies and procedures for all categories of academic appointments (tenure stream, teaching stream, contractually limited term appointments, part- time) to ensure academic human resource processes are accurately and effectively implemented.
    • Reviewing tenure, continuing status and promotion dossiers to ensure all the required documentation is provided and policies and procedures are adhered to. Follows-up with Chairs/Directors Assistants to obtain missing information. Flags any contentious or negative remarks in the files for the Manager, Academic HR and/or the Vice-Dean's attention.
    • Monitoring progress of searches and reviewing all documentation submitted to the Office of the Dean to ensure completeness and that all documentation is provided (e.g., CV's, reference letters, Chair's report) and submitted and that all steps taken in accordance with academic appointment policies and procedures have been followed. Discussing and resolving issues with departmental contacts and flags any missing information prior to forwarding to the Manager, Academic HR for review.
    • Assisting the Manager, Academic HR with the development and implementation of UTM academic HR administrative processes and ensuring documentation and communication of support materials is timely, clear and easily accessible.
    • Explaining and advising decanal office, and departments, on related University policies and procedures, collective agreements and legislative requirements for CUPE 3902 Units 3 and 5. Liaising with Labour Relations as required.

    What you will bring to the role:

    • Bachelor's degree required, or equivalent combination of education and experience.
    • Three years of progressive experience in a related setting.
    • Excellent knowledge of University policies and procedures as they pertain to full-time and part-time academic appointments, tenure, promotions, leaves and salary administration and an understanding of the University's organizational structure.
    • Experience interpreting and advising on academic policies and procedures.
    • Proficient computer skills, including MS Office (Word, Excel, Access).
    • Must have: strong research, oral and written communication, interpersonal sensitivity and analytical skills.
    • Demonstrated problem-solving and organizational skills.
