Champlain College - Lennoxville is seeking the services of an ADMINISTRATION TECHNICIAN, to work on a regular full-time position in the Administrative Services Department.


FUNCTIONS


Reporting to the Coordinator of Administrative Services, the principal and customary work of the incumbent will consist in performing various technical tasks of an administrative nature in the management of financial resources and Material.


MAIN RESPONSIBILITIES:


  • Collects, analyzes, and prepares data in order to establish the requirements in terms of budgets and purchasing.
  • Processes all cheque requisitions and purchase orders according to budget allocations and campus policies.
  • Prepares purchase orders for annual service/maintenance contracts; receive monthly invoices from suppliers; investigate discrepancies; and forwards authorized vouchers to college administration accounting department for payment.
  • Distributes costs to users for all expenses, i.e., photocopying, office supplies, etc.
  • Invoices individuals (staff, students, users, etc.) for chargeable goods or services.
  • Verifies all bank deposits from other departments, prepares deposits for miscellaneous revenues collected by the Business Office, and forwards all to college administration office.
  • Reimburses petty cash claims, issues reports and requests to replenish the fund, and reconciles all weekly.
  • Monitors expenses and advises his/her superior of cases of overspending or discrepancies.
  • Reconciles all revenue accounts, finds discrepancies, and requests journal entries to correct.
  • Collects all monies towards student field trips.
  • Provides support and assistance to both internal and external clients in areas of accounting, budgets and purchasing.
  • Provides support to the Buildings and Equipment Printshop and Shipping/Receiving area such as; Printing documents, receiving equipment and merchandise, provide service at the help desk for office supplies and other requests.
Performs any other related tasks, as required.


Requirements:

Education

Must have a diploma of college studies (DEC), preferably in relevant field such as administration, or an attestation of studies, which is recognized as equivalent by the competent authority.

Other
Must have excellent interpersonal and organizational skills with a proven track record of discretion, tactfulness, and respect of confidentiality. Excellent written and spoken English and French - language skills are essential.


Ability to multi-task, anticipate needs, problem-solve and adapt to quickly evolving situations while having impeccable attention to detail and able to meet strict deadlines.

Proficiency with Windows environment and the MS Office suite (especially Word, Excel and Outlook).


Work Schedule:
Monday to Friday from 8:00 a.m. to 4:0 p.m. or 8:30 a.m. to 4:30 p.m.


Salary Scale: 24.21$ $
