As the
Executive Assistant, Registration, you will work with mínimal supervision to provide support to the Assistant Registrar, Director and the Registration Department.


MAJOR RESPONSIBILITIES

  • Executive Support to the Assistant Registrar:
  • Coordinate the AR's attendance at national and international meetings; including liaise with other stakeholders, make travel arrangements, and prepare any materials required for the meetings.
  • Prepare and reconcile expenses.
  • Prepare routine and confidential correspondence.
  • Schedule appointments and maintain appointment calendar, prepare any materials needed in advance.
  • Screen incoming inquiries and respond on own initiative.
  • Draft correspondence on behalf of the AR in anticipation of a needed response or request.
  • Prepares documents for CPSA Council.
  • Coordinate Registration SharePoint site including permissions and ensure the meeting folders contain all the required submissions and content.
  • Liaise with independent legal counsel for hearings and registration appeals.
  • Support for the Registration Department including Registration Assessments:
  • Provide assistance on business planning, prepare reports, schedule meetings and various projects.
  • Manage and review physicians who have not had their credentials verified on
  • Manage the alternate pathway to Royal College of Physicians and Surgeons of Canada (RCPSC) certification referrals.
  • Manage physician nonaccredited approvals such as certified examiner and injury management consultant.
  • Provide administrative support for Registration Assessments, Registration Administrators, Director and Senior Medical Advisors.
  • Liaise with internal departments regarding practice permit restrictions and monitoring regulated members who are not compliant/adherent with conditions such as Continuing Professional Development (CPD) requirements.
  • Review and maintain Registration Department manual updates.
  • Assist with physician transfers from the Provisional to the General Register.
  • Administer the collection of fees and payments for the department.
  • Coverage for Member Service Agents, Registration Administrators and Assessment Coordinators.
  • Adhoc work for privacy requests and reporting.
  • General Support:
  • Support leadership & operational meetings.
  • Provide backup assistance for other Executive Assistants.
  • Provide assistance responding to overseas medical inquires, as needed.

QUALIFICATIONS

Education:


  • Formalized specialized skills typically obtained through a 1year postsecondary certificate (e.g. secretarial college), or equivalent.

Experience:


  • Requirement for 3 to 5 years of related experience.

Skills:


  • Strong problem solving and decisionmaking skills.
  • Advanced interpersonal, communication and writing skills including proofreading, editing and phone etiquette.
  • Selfdirected with mínimal supervision, teamplayer and customerservice focused.
  • Excellent organizational skills, attention to detail, task followthrough and logístical planning.
  • Broad knowledge of the health system and experience dealing effectively with physicians an asset.

SALARY
The salary for this position is $67,809 and includes a comprehensive benefit package and pension plan.
