Job Purpose


The Project Coordinator is responsible for the accurate and timely completion of a variety of administrative tasks required to support the needs of the project teams, vendors and subcontractors.

The position requires a strong team player with excellent communication, organizational and planning skills with initiative and the ability to work independently and manage multiple deadlines.


Responsibilities:


  • Displays a commitment to Waiward's incidentfree vision, values, and culture;
  • Solicits assignments from the project manager regularly to ensure proper work distribution;
  • Participates in project kickoff meetings, helping to ensure that all Waiward departments are aware of project requirements and have input to the successful execution of the project and that all records of meetings are maintained;
  • Setsup and maintain project management files in accordance with departmental standards.
  • Prepares, maintains, updates project schedules in conjunction with drafting & production department scheduling;
  • Trouble shoots day to day project issues as directed by the Project Manager or Sponsor;
  • Attends production and/or coordination meetings;
  • Compiles data, manages, maintains, and approves project invoicing process on a timely basis;
  • Compiles data and information for historical statistical database, specifically client data and subcontract vendor data;
  • Performs estimating duties as requested;
  • Contributes to subcontract vendor management as requested:
  • Budget development in line with corporate goals;
  • Scope listing and control;
  • PO creation and change management;
  • Schedule adherence;
- information transfer and control;

  • When applicable, audits unit price categories:
  • Advise Drafting of corrections. Drafting will not update drawings;
  • Correct unit price categories in IMS;
  • Track net cost differential per division before and after audit;
  • Coordinate material categories between estimators and drafting;
  • Provide Unit Price Category training for data control and drafting departments.
  • Assists team estimators with bid preparation, including Material takeoff entries
    ;:
  • Other duties as assigned by the Project Team.

Qualifications:

  • Minimum of 2+ years of relevant work experience or combination of work experience and post secondary education;
  • Post Secondary training and/or Industry specific trade training working towards a P. Eng, CET, PMP or Journeyperson Trade Certification designation would be considered an asset;
  • Experience working directly with Project Management software (i.e SAP, Primavera, Procore etc.);
  • Excellent written and verbal communication skills;
  • Very strong analytical, attention to detail and problem solving skills;
  • Exceptional organization and time management skills;
  • Advanced Excel and spreadsheet skills;
  • Ability to work cooperatively and collaboratively with all levels of employees, management and external relationships.

Working Conditions


The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.


Physical Requirements


The incumbent is required to have close visual acuity to perform an activity such as: viewing a computer terminal for extended periods of time; and extensive reading.

The incumbent is also required to stand and sit for extended periods of time.
