Job Summary:


The dynamic role of Absence Case Manager is performed for the purposes of managing sick calls from employees, providing medical case management for absent employees and maintaining employee attendance information at the Toronto site.

The Absence Case Manager will serve as the primary point of contact for employees and managers on attendance issues.

In this role, the Absence Case Manager will be responsible for:

generating daily absence reports; assessing and investigating all absences for proper categorization and tracking; managing all absences to case resolution; and providing metrics to the management team for auditing and trend analysis.

The Absence Case Manager will be responsible for meeting company, provincial and federal requirements relating to attendance processes.


The Absence Case Manager will coach managers and employees as needed, per policies, regarding: the absence management and investigative process; the overall business impact of unplanned labour loss; and the necessity for adherence to attendance policies through consistent communication of employee accountability.


The Absence Case Manager will understand relevant sections of the Collective Bargaining Agreements, relevant government legislation such as the Ontario Human Rights Code, and Company procedures.

The Absence Case Manager will also build effective working relationships with other business units, including Union Representatives, Human Resources and others.


Main Duties and Responsibilities:

  • Generates and assesses daily absence management reports
  • Performs case management activities to review and process medical leaves of absences, provincial emergency leaves of absences and workers' compensation claims
  • Investigates all nonoccupational absences to verify their medical necessity using standard case management techniques, such as employee and manager interviews, use of medical duration guidelines, review of employee absence trends, etc.
  • Ability to perform Root Cause Analysis to accurately identify returntowork barriers and create effective case management plans to overcome these barriers
  • Accurately categorizes and reports all nonoccupation absences based on investigation findings
  • Manages all nonoccupational employee absences to case resolution, including: creation and execution of case management plans; creation and execution of all gradual and modified returntowork plans; identify red flags and escalate to the National Absence Manager; recommend strategic use of IMEs, FCEs and surveillance programs when appropriate
  • Provides administrative support to the Supervisor, Workers' Compensation, including completion and submission of claim forms to WSIB and administration of incoming WSIB correspondence
  • Coordinates with employee, medical practitioner, and manager to facilitate timely return to work
  • Documents activities and updates in the electronic claims management systems
  • Provides exceptional customer service and actively contributes to performance objectives
  • Responsible for maintaining and protecting personal health information, must maintain a high level of confidentiality
  • Manages benefit communications, approvals and declines
  • Acts as a support/back up to National Absence Manager when needed
  • Develops and delivers customerspecific valueadded services for existing and new employees in order to build employee awareness of the organization's Values surrounding sickness and disability management
  • Processes payments of invoices for case management activities
  • Oversees ever changing caseload and collaborates with internal and external medical professionals
  • Produces comprehensive case notes and documentation on activities and consultations
  • Reviews medical reports for returnto work (RTW) clearances
  • Provides best in class customer service to employees, management and vendor partners

Qualifications:


Education:


  • A minimum of 3 years of experience in Short-Term Disability, Long-Term Disability or Worker's Compensation (WSIB) claims management
  • A medical background such as a registered nurse, registered practical nurse, kinesiologist, physiotherapist or respiratory therapist is strongly preferred
  • Understanding of relevant federal and provincial legislation, such as the Ontario Human Rights Code, PIPEDA and WSIB compliance is required

Work Experience:

  • Previous disability, Workers' Compensation and/or leave of absence case management is required
  • Previous experience in HR policies and procedures
  • Previous experience coaching managers and employees on policies and compliance
  • Previous experience in analyzing current and historical data from multiple sources to identify key trends
