GENERAL FUNCTION
The Member Services Manager provides all office support to ensure effective and efficient operations of the Chamber. This role includes providing administrative, communication, event planning and financial services.

The Member Services Manager reports directly to the Board of Directors and serves as the first point of contact for most Chamber inquiries and transactions.


PRIMARY DUTIES AND RESPONSIBILITIES

Communications, Marketing & Sales

  • Act as a liaison between the King Chamber and the community
  • Answer general inquiries and forward others to appropriate board member as required
  • Manage Chamber website to ensure accuracy, visibility of sponsors and up to date membership directory information
  • Create and manage content for Chamber Newsletters and distribute on a regular basis
  • Manage Chamber social media, ensure consistent weekly relevant posts and monitor performance
  • Communicate townshipwide events and grand openings to ensure Board representation at ribbon cuttings, etc.

Membership and Annual Sponsor Administration and Support

  • Respond to new membership inquiries including recommendations through board members, ensure prompt and accurate communication and payment
  • Followup and enlist annual sponsors as recommended by board members, ensure prompt and accurate communication and payment
  • Ensure prompt and accurate renewal communication and payment
  • Manage Membership database for accuracy and reporting
  • Increase membership to 225 by end of new members per month)

Events

  • Coordinate and manage Chamber events including booking activities and venues
  • Ensure each event is planned to generate a net profit as recommended by the board
  • Source and enlist event sponsors, ensure prompt and accurate communication and payment.
  • Prepare a calendar and budget for events for the year in January of each year and publish on website
  • Set up and act as greeter at each event to promote the Chamber and answer questions
  • Enlist a chamber member to assist at each event to ensure event runs smoothly (adequate food available, acoustics, etc.)

Financial Support

  • Maintain the Chamber's financial books and records with oversight from the Treasurer
  • Ensure timely invoicing and payment tracking
  • Accurately track and record Accounts Receivable and Accounts Payable
  • Issue payments and conduct banking transactions as directed and approved by the Board
  • Generate and present monthly financial reports (e.g., Profit & Loss, Balance Sheet and Accounts Receivable) on the 15th of the prior month to ensure time for review
  • Prepare an annual budget with assistance from Treasurer to set clear goals for revenue, membership and profit (include estimates of member count, sponsorships as well as event revenue and expenses)

Representation

  • Act as the main point of contact for the King Chamber of Commerce
  • Attend OCC meetings and report relevant initiatives to the Board
  • Liaise with Economic Development Manager monthly to report relevant events to the Board
  • Participate in events and activities as directed by the Board

Board Support - Coordinate and report on progress of the following Board initiatives and committees with priorities as directed by the Board:

  • Training of Board on Governance
  • Bylaw clarification and adherence
  • Advocacy Committee
  • Chamber Printed Marketing materials
  • Directory, Chamber pamphlet, etc.
  • Operational procedures and policies to ensure organizational knowledge retention, prepare for future growth and/or succession planning
  • Member valueadd initiatives (member affinity programs, member referral program, round tables for various membership levels, etc.)
  • Ensure all relevant documents are accessible to board members
  • Make recommendations for other initiatives such as system improvements and HST filing
  • Other committee support as requested

Clerical Support:


  • Perform general clerical duties including, but not limited to, mailing, filing, photocopying and maintaining computer system and backups
  • Process all pointofsale cash, credit card and cheque transactions and ensure accurately accounted for
  • Maintain a calendar of upcoming events and meetings and ensure they are communicated to relevant stakeholders
  • Prepare Agenda, Minutes and Board information package for monthly Board meetings
  • Set up Zoom sessions as required for Chamber Board or Executive meetings
  • Assist in the compilation and distribution of membership material, mailings and correspondence to members and potential members with the direction of the Board
  • Assist in ensuring that member files are maintained and up to date and that privacy and confidentiality is adhered to

Job Types:
Part-time, Permanent

Part-time hours: 30-38 per week


Salary:
From $30.00 per hour


Schedule:

  • On call
  • Weekends as needed

Ability to commute/relocate:

  • Schomberg, ON L0G 1T0: reliably commute or plan to relocate before starting work (preferred)
