Job Function:
The Operations and Reception Administrator assists the Operations Manager in the performance of duties related to operations and data administration, and supports with facilities or investment services as directed by the Operations Manager.
Key Responsibilities
Operations and Data Administration:
- As requested by the Operations Manager, assist in the processing of operational transactions, preparation of documents, keying of transactions, monitoring and/or reconciliation of reports
- As requested by the Operations Manager, assist in data related entries, preparation of documents, keying transactions, monitoring and/or reconciliation of reports
- Assist in the maintenance of company files, electronic and hard copy, including archiving and pulling of historical statements and transactions
Reception:
- Inbound calls to head office
- Catering, setup and breakdown for meetings, as required
- ATM cards and resetting of ATM pins
- Interbranch mail
- Mail and courier, incoming and outgoing
- Stationery, supplies, toner, PPE supplies
Other:
- As directed by Manager, Operations, assist the Manager of Property and Premises, in property management and oversight, decommission or renovation project management, equipment management and oversight
- Facility support at head office
- As directed by the Manager, Operations, assist in the processing of investment related transactions, preparation of documents, keying of transactions, monitoring and/or reconciliation of reports
- As directed by the Manager, Operations, assist in contract management and vendor management for all areas of the company
- Adhere to security procedures as they pertain to the position
- Actively participate in credit union meetings
- Actively participate in monthly Health & Safety meetings, including compiling of reports and minutes
- Participate in community activities that enhance the credit unions image
- Backup support for all areas
Education and Experience
- Postsecondary education in business administration and 1 year experience in a financial institution, or an equivalent combination of education and experience.
- A commitment to learning and development is required.
Functional Competencies and Technical Abilities
- Solid understanding of financial institutions and industry standards
- Basic understanding of applicable privacy legislation
- Basic understanding of financial transaction and antimoney laundering regulations
- Solid computer and research skills
- Solid verbal and written communication skills
- Advanced attention to detail and analytical skills
