Position Overview


The Development Coordinator will be responsible for providing support and learning the development process as it relates to consultant coordination, build to suit and condo sales and marketing as well as municipal approvals.


We are looking for a highly organized individual with a real estate, urban planning or construction technologist background wanting to join a very active development team supporting multiple projects within ON.


Industrial Condo Transactions:


  • Support Director in coordinating consultant deliverables including, lawyers, brokers, surveyor, and property manager
  • Track all condo sales, including waiver, deposits, and outside dates, and provide updates to construction, accounting, marketing and service plus departments
  • Provide support for the purchasers' office and warehouse improvements process including preparing construction contracts
  • Provide design and building specification support
  • Assist with the preparation of documents required for completion of all condo Purchase and Sale Agreements
  • Collate the Information Summary and Due Diligence Folders
  • Respond to purchasers' enquiries
  • Collate information for the Purchaser's Property Management Folder ahead of construction completion and sales completion
  • Assist marketing department with eblast and brochure updates
  • Ensure that all marketing and finance material reflects the current building drawings
  • Work with Property Management department to set up condominium corporation and third party property management contracts
  • Coordinate insurance documentation for purchasers and condominium corporation
  • Coordinate all documentation required for sales completion

Development Planning:


  • Assist with municipal development approvals including Site Plans, Zoning By-Law Amendments and Building Permits
  • Assist with the compilation and review of all materials necessary for outgoing proposals
  • Create subcontracts, change orders and purchase orders in Timberline
  • Coordinate with accounting to ensure payment to consultants when necessary
  • Draft letters and edit outgoing correspondence
  • Track municipal development cost charges in all relevant markets
  • Compile and review all market reports
  • Schedule meetings, take minutes/notes, and undertake necessary followup
  • Assist in site evaluation process for land acquisitions
  • Support senior development team members and complete administrative tasks as required

Database Management:


  • Entering all new properties into the system
  • Updating the records for land entity, purchase contracts and lease contracts as required
  • File organization and upkeep
  • Maintaining integrity of information in the CRM for all aspects of development

Scheduling, Coordinating & Other Administration:


  • Keeping weekly agendas up to date
  • Coordinating all internal and external meetings
  • Tracking all critical dates which will require updating multiple information resources and departments
  • Collecting, organizing and tracking due diligence deliverables
  • Corresponding with clients and commercial real estate brokers as required
  • Editing/proofreading communications to management

Desired Skills and Experience:


  • Postsecondary education in Administration, Project Management, Planning, Engineering or related field
  • At least 2 years' experience in real estate, planning or development industry (student placement or professional experience welcome)
  • Knowledge of municipal review and approval process
  • Ability to read and understand architectural and civil drawings, or a willingness to learn
  • Ability to read and understand Purchase and Sale Agreements, Amendments or a willingness to learn
  • Highly organized and methodical thinker
  • Excellent computer skills must be proficient in Word, Excel, PowerPoint and Acrobat Pro
  • Strong work ethic
  • Thrives in a fast paced high pressure environment
  • Excellent verbal and written communication skills
  • A selfstarter who demonstrates initiative and is comfortable working within a team and independently
  • Ability to tackle issues and create solutions
  • A strong, confident personality able to professionally conduct themselves at industry and internal events
  • Attention to detail
