Position Overview
The primary responsibility of this position is to create and maintain a records management system for the school Division.

This includes, but is not limited to, performing data entry tasks, updating existing records, maintaining Division archives, retrieving information from the filing system when requested, maintaining up-to-date logs, scanning, and uploading files to create digital copies of physical records, processing and filing copies of incoming and outgoing physical correspondence, training of staff, and conducting routine verification to ensure integrity of the filing system.


In addition, the job provides a range of support for the senior executive team, including in the area of Freedom of Information and Protection of Privacy (FOIP), legal contracts, insurance, procurement, administrative procedures, policies, and preparing correspondences.


Specific responsibilities include, but are not limited to:

  • Handles records management by developing and maintaining the filing system in accordance with Division policies and FOIP Legislation
  • Develops and implements administrative systems and processes
  • Handles material in a highly confidential nature
  • Acts as a liaison with external and internal stakeholders
  • Establishes and maintains strong relationships with all stakeholders
  • Researches
    , prioritizes, and follows up with key individuals
  • FOIP Officer for the Division
  • Prepares files, documents, contracts
  • Proactively manages timelines and anticipates demands
  • Conducts research, summarizes information, and reports results
  • Assists with policy and administrative procedure development
  • Other duties as assigned

Desired Qualifications and Experience

  • Diploma in an area related to office administration plus five years of directly related experience
  • Records management principles
  • Freedom of Information and Protection of Privacy (FOIPP) Legislation
  • Design, implement and oversee special projects
  • Alberta Education Act and regulations
  • Microsoft Office 365 and associated software programs

Job Types:

Salary:
$65,000.00-$85,000.00 per year
