is seeking a self-motivated, outgoing and affable individual with a keen interest for investing and investment management, capable of working within a start-up, fintech company environment in London, Ontario.


Position Overview:


A Client & Investment Administration Specialist plays a key role in supporting the Portfolio Manager(s), Client Relationship Manager(s) and the investment team, delivering a range of financial and administrative tasks to ensure the smooth operation of investment strategies and ensuring the satisfaction of clients.

The Client & Investment Administration Specialist position is an in-the-office full-time position, where SciVest's new physical office is expected to be located centrally in the city of London, Ontario.

As SciVest is a small quickly growing company, the position also offers the opportunity to participate in all other aspects of SciVest's investment management and client advisory business.


Qualifications:


  • Minimum 2 years, fulltime experience in the Canadian banking, brokerage and/or investment management industries.
  • Good general understanding of investments and investment accounts.
  • Proficiency with computers and high proficiency with Microsoft Office programs, with particular competency in Excel.
  • Preferably, a general understanding of financial and/or portfolio accounting.
  • Strong analytical and communication skills. Must be fluent in English.
  • University degree or 3year college diploma, ideally specializing in a related field.
  • Ideally, completion of some or all of the CIM program and/or other investment or accounting related certificate/designation programs.
  • Experience with the Harmony Portfolio Management System would be a significant asset.
  • Preferably, a general understanding of financial and/or portfolio accounting.

Client Account Management:


  • Assist Client Relationship Manager(s) with the opening and maintaining of client investment accounts.
  • Ensure client account documents and agreements are uptodate and compliant with regulations.
  • Assist Client Relationship Manager(s) with client inquiries and requests related to their accounts and/or portfolios.
  • Maintain and oversee the Harmony Portfolio Management System with respect to client data, documentation, and account setup.

Portfolio Reporting:


  • Generate and prepare investment statements, performance summaries, and other relevant client documents.

Data Management:


  • Maintain and ensure accurate and uptodate portfolio data, including positions, transactions, and performance metrics using the Harmony Portfolio Management System.
  • Perform data reconciliations and troubleshoot data discrepancies.

Compliance and Regulatory Oversight:


  • Assist and ensure compliance with regulatory requirements and internal policies and procedures.
  • Assist in preparing compliance reports and documentation.

Administrative Support:


  • Assist Client Relationship Manager(s) with opening and maintaining client accounts.
  • Ensure client account documents and agreements are uptodate.
  • Schedule meetings and appointments for Client Relationship Manager(s).
  • Handle administrative tasks such as filing, recordkeeping, and document management.

Communication:


  • Respond diligently to client requests and outreach.
  • Maintain open communication with clients, addressing inquiries and concerns promptly.
  • Collaborate with other team members and departments to ensure the effective operation of investment strategies within client accounts.

Technology and Software Use:


  • Utilize the Harmony Portfolio Management System software.
  • Utilize Excel for various data analyses and data reconciliations.
