Job Title:
Business and Operations Manager


Position Objective:


As the Business and Operations Manager, you will play a vital role in ensuring our company's financial health and operational efficiency.

This dynamic role is for an entrepreneurial-minded, solutions-oriented, and innovative individual who thrives on making things run efficiently.

Reporting directly to the Founder and Managing Director and working collaboratively with the Client Services Manager, you will focus on operational and commercial excellence - implementing/streamlining processes for efficiency and financial tracking of projects (including resourcing against client work).

This will also include training and coaching the team to think commercially and follow best practices.

Founder and Managing Director, Nazaneen Lauriault


Key Responsibilities:


  • Oversee the company's financial operations, including budgeting, forecasting, and financial reporting
  • Manage the company's master schedule and oversee workflow, time tracking and reports on project timelines.
  • Deliver financial cycle activities such as budget planning and cashflow forecasting.
  • Set up scalable, efficient processes and systems to better manage workflow and communications.
  • Assist with new business development through prospect research and proposal writing.
  • Support better reporting, information flow and organizational planning.
  • Develop business modeling and financial analysis to support continued growth plans.
  • Coordinate and manage vendor coordination and management, including freelance photographers, videographers, audio editors, etc.
  • Develop a deep understanding of the business opportunities and challenges we're working to solve; design & deliver tailored people strategies & solutions that both scale and enable our company to achieve its goals.
  • Manage support services (HR, IT, and Finance); increase efficiency and effectiveness of these functions
  • Support the client onboarding process by creating proposals/quotes, client service agreements and invoices
  • Generate client invoices
  • Work with our bookkeeper on expense tracking (including submitting receipts and expense reports)
  • Answering salesrelated questions from clients
  • Collaborate on client relations duties with the Client Services Manager
  • Complete other duties as requested by the Founder and Managing Director

  • Quarterly Financial Projections and Reporting
  • Unbillable Time Summary
  • Client Resourcing Utilization Report

Qualifications:


  • Bachelor's degree in Finance, Business, or a related field
  • 4+ years of financial management and operations experience in a creative or communications agency ideal
  • Passion for establishing successful workflows and processes.
  • Familiarity with project management software (we use Monday).
  • Proven track record of driving operational excellence and efficiency
  • A love for dogs (we are a dogfriendly office)

This is a one-year, 25 hrs/week role with an opportunity to lead into a permanent, full-time employee position. This position is based out of 50th Parallel Public Relations' office in Victoria.
