Become an integral part of the Audain Art Museum, a 56,000 square foot institution in Whistler, British Columbia.

The Audain Art Museum (AAM) provides a home to a Permanent Collection, which arcs across over two hundred years of art production in BC.

Among the highlights of this unique holding are historic Indigenous carvings, bronzes by Bill Reid and James Hart, the paintings of Emily Carr, and photo-based work by Rodney Graham, Vikky Alexander and Stan Douglas.

The AAM also hosts Special Exhibitions from across Canada and around the world.


Job Summary:

Applications are now being accepted for the Events & Sales Coordinator at the Audain Art Museum.

Reporting to the Marketing Manager, the Events & Sales Coordinator will be responsible for supporting the execution of Museum events and third-party facility rentals at the Audain Art Museum.

This role supports an energetic, collaborative and driven team, assisting with achieving annual strategic plans and goals.


General requirements are as follows:

KEY RESPONSIBILITIES

General

  • Indepth knowledge of all AAM product and service offerings.
  • Conduct site visits and participate in planning sites of events as required.
  • Effectively communicate the Museum's offerings to potential clients with knowledge of reservation policies, deposits, fees, room capacities, food and beverage options, ticketing, security, gallery tours, audiovisual, cancellation requirements, etc.
  • Prepare contracts, process payments, compile weekly reports and other administrative duties as required.
  • Followup with written materials, phone calls and confirmation letters to ensure clients are wellinformed regarding booking details, Museum policies and event management procedures.
  • Oversee the work of outside contractors to ensure performance and effectiveness according to Museum standards and procedures.
  • Ensure a quality experience for clients

Events
Venue Rentals

  • Reserve assigned events spaces, arrange and facilitate deliveries, (beverages, rental equipment, etc.), audiovisual equipment, arrange event signage, and other event details to meet quality expectations.
  • Manage communication with all internal departments and assigned vendors, including, caterers, contractors and equipment providers to ensure efficient and successful outcomes.
  • Facilitate the execution of both internal events and thirdparty facility rental bookings including weddings and corporate events.
  • Act as event lead for each event, including set up and tear down.
  • Supervise Museum staff members who assist with the preparation of assigned events.

Third-Party Sales

  • Prospecting, qualifying and generating new sales leads to support the Marketing Manager in achieving and exceeding sales targets.
  • Assists the Marketing Manager in maintaining administrative relationship with Third Party Sellers, Tour
  • Operators, Resort Partners, Online Travel Agencies, and call centers including reservation requests, program and tour bookings, sales incentives and thirdparty sales training.
  • Support the Marketing Manager by providing pretrip support and follow up from trade shows and sales initiatives.
  • Responsible for preparing reports, contracts and other administrative duties as required.
  • Support with the production of promotional packages

QUALIFICATIONS

  • College diploma in a related service industry discipline and at least one year of relevant work experience are desirable.
  • Ability to manage and deliver against multiple competing priorities and work well under pressure excellent time management, problem solving, and analytical skills.
  • Demonstrated ability to work professionally and tactfully with donors, members, the public and coworkers, represent the Museum with a high level of integrity and professionalism.
  • Present professional image through effective written and verbal communication skills.
  • Comfortable working a flexible schedule to accommodate event coverage.
  • High attention to detail. Creative thinker, especially an ability to create under pressure and limitations.
  • Proficiency with Microsoft Office.
