Summary
The Rental & Sales Coordinator will provide clients with quality service and ensure clients get the services they need.

There is a heavy customer service basis, as the Rental & Sales Coordinator is often the initial contact, so having good people skills is a must.

You will build strong relationships with our partners and service providers to ensure clients receive the best care possible. You should be service-oriented with excellent organizational and record-keeping skills.

You should have strong communication and interpersonal skills and should be able to deal with our clients with empathy and compassion.


Job Duties (including but not limited to):

  • Processing of rental and sales orders and inbound inquires.
  • Preparing sales/rental agreements and product invoices.
  • Ensure that all assets and customer accounts are updated in Salesforce for both rentals and sales.
  • Ensure that purchased/rental machine check ins and outs are completed in the system.
  • Closing/Invoicing work orders. Collecting and verifying payments have been made by the customer.
  • Issuing PO#'s to vendors. Batteries and aftermarket.
  • Authorizing, preparing and filing invoice payments/orders to customers and vendors.
  • Preparing quotes for batteries, racking etc.
  • Working with account representatives to secure and schedule equipment deliveries and installations, ensuring that all assets have accurate data, and all SOP's have been completed prior to shipping including: PDI's, PM's, LDI's, and truck specifications.
  • Organizing and tracking equipment sale orders.
  • Prepare monthly reports.
  • Scheduling, recording, and preparing shipping documents for sales, rentals, and freight, including, responsible for organizing local, provincial, and cross border shipping documents if required.
  • Work closely with fleet team managing stock/inventory. Ensure inputted data for equipment is accurate/updated as required.
  • Backing up service dispatch and invoicing when required.
  • Ordering aftermarket items and processing through to delivery and invoice.
  • Field inbound sales and rental inquiries for all products and services in scope of offerings.
  • Making outbound calls to current customers letting the know our offerings for rentals and other services.
  • Work with account managers to schedule and deliver all aftermarket material.
  • Assess the service needs of clients and connect them with the correct technician/personnel.
  • Create and maintain a directory of service providers and resources.
  • Create and maintain a database of clients and client needs.
  • Assess client issues and provide recommendations to fix problems.
  • Ensure each client is given the necessary services and follow up to fill ongoing service needs.
  • Maintain good relationships with service providers and clients to keep customer base.
  • Expand the list of resources and providers to assure there are no gaps in services.
  • Other related duties as assigned.

Qualifications

  • College diploma or relevant certification or Bachelor's degree preferred.
  • 13 years' of industry experience or a related customer service experience required
  • Previous administrative experience an asset
  • Experience with Salesforce an asset
  • Excellent critical thinking, customer service and problemsolving skills
  • High quality organizational skills
  • High attention to detail
  • Excellent verbal and written communication skills
  • Proactive qualities with the willingness to learn.
  • Ability to work well under pressure and with mínimal supervision.
  • Must be able to work long hours seated and in front of a computer.
