Position:
Purchasing Agent**
Reports to: Projects and Materials Manager

Job Brief
Responsible for the efficient operation of the purchasing department in all aspects, associated with full communication with all departments.

Responsible for the monitoring and expediting the flow of job orders between suppliers and departments that conform to production schedules.


Essential Duties and Responsibilities

  • Purchasing Agent_
  • Process and issue Purchase Orders to support projects and other purchase requirements
  • Works cooperatively with customers, fellow employees, vendors and management
  • Develop and maintain positive relationships with suppliers and customers
  • Communicates with management and all departments as required
  • Completes all tasks in a neat and timely fashion
  • Schedules deliveries based on schedule requirements for expediting
  • Verifies costing is competitive and as per quoted
  • Provide updates to progress of purchasing as required.
  • Input Purchase Orders for Contractor Invoices
  • Maintain documentation showing the cost saving negotiations on outside purchasing. This is required for ISO measurement savings
  • Challenge time wasting tasks and replace them with productive efforts
  • Negotiate with suppliers in the areas of price point, currency, delivery, and future purchase bulk order options. Conduct supplier evaluations and drive supplier development.
  • Expediting of Purchased materials_
  • Following up with suppliers on delivery of key components required to maintain project milestones and identified by the project managers.
  • Arranging for expedited deliveries when required
  • Reviewing "Late" items on Purchased Status Report and notifying supplier for updated delivery.
  • Receiving "Expedite" notifications from IAI employees and notifying supplier for updated delivery.
  • Expediting Critical Purchased Items with late delivery
  • Monitoring Critical Purchased Items for on time delivery
  • Interact with project teams to determine needs
  • Work with shipping and receiving to ensure accuracy of recording of received items
  • Process returns of materials purchased
  • Coordinate with suppliers
  • Work with Shipping/Receiving to return ship
  • Work with Group Leaders for nonreturnable items.
  • Work on improving communication and data flow between purchasing, design, and manufacturing to determine reasons for late deliveries
  • Determine root cause of late deliveries and understand why this is happening
  • Collaborate with design, manufacturing and purchasing teams to solve issues quickly
  • Investigate supplier data and propose new ideas on how to solve problems
  • Provide input to ERP team on expediting needs based on what has been discovered/learned

Workers should be proactive about health and safety.

That means that workers must not only comply with the law, the employer's policies and workplace procedures, but they should also make suggestions to improve health and safety.

Workers may also bring health and safety concerns and suggestions directly to the Joint Health and Safety Representative (Members names are listed on the Health and Safety Bulletin Board)


Key Technical Skills and Knowledge

  • MS Office Software (Word, Excel)
  • Prior experience with an ERP system is a benefit

Qualifications

  • Minimum a Graduate of Post-Secondary Education or Equivalent Specialized Experience

Physical Demands
This position requires constant sitting with occasional standing and walking. It requires frequent cervical flexion, the chin to chest movement. Maximum lifting and carrying weights reach close to 35lbs, with the maximum pushing and pulling reaching 50lbs. Administration positions require constant forward and reach with both arms. Constant grasping, handling, and use of fingers are required. Working in this position requires a very strong ability to work alone and self-supervise.

It also requires the ability to handle attention to detail, tight deadlines, responsibility and accountability and the ability to multi-task.
