The Opportunity


Reporting to the Manager, Facility Performance, the Facilities Asset Management Coordinator supports the implementation and continuous advancement of the YWG Asset and Maintenance Management plan.

They act as the preventative maintenance coordinator, provide document control functions and provide regular reports to internal stakeholders.

The Facilities Asset Management Coordinator will work closely with internal and external stakeholders, requiring tact, courtesy and cheerfulness, while being detail-oriented and organized.


Responsibilities include:


  • Assist with developing asset management system elements, regular maintenance planning/delivery and core life cycle functions such as selection, operation, and maintenance of mechanical, electrical, structural and civil infrastructure, systems, assets and mobile assets.
  • Assist with the effective project turnover to operations and maintenance by supporting with the development and communication of change management, operational readiness plans, transferring of project data to operations, development of maintenance and operating plans, and creating new standard Operating Procedures.
  • Develop and report on life cycle costing and longterm asset management plans for assets,
  • Act as a system advocate and assist in training, and proper usage of the Computer Maintenance Management System (CMMS) software.
  • Support the manager with administration, preventative & reactive maintenance coordination, coordination of demand maintenance requests, records and assignments to facilities team.
  • Coordinate with Airport Operations Centre (AOC) to receive and issue Demand/Reactive Service requests, and monitor work order closures.
  • Plan and issue daily Preventative Maintenance (PM) Work Orders to facilities team, confirm assignments and tasking with supervisor.
  • Schedule staff to perform designated inspections, readings, service, and maintenance of equipment.
  • Maintain and provide document control assistance in the filing of department technical records.
  • Update equipment record information, Operations manuals, drawings, plans and other documentation as needed.
  • Provide regular reports to the Supervisor and Management team for maintenance, planning and performance monitoring,
  • Track and provide all required regulatory submissions, along with other duties as required.

Selection Criteria include:


  • Successful completion of Secondary School or GED equivalent.
  • Certification in IBM Maximo Asset Management or proven knowledge of Asset Management and facilities maintenance concepts and practices.
  • Minimum three (3) years experience working with CMMS
  • Maximo is required in Facilities work planning, maintenance coordination, preventative work planning and reporting.
  • Experience in Document management and record keeping.
  • Excellent time management, interpersonal, customer service and communication skills, both verbal and written.
  • Self motivated to work independently and within a team in a fast paced and constantly changing environment.
  • Excellent technology skills, including proficiency with Microsoft Office Suite programs, SharePoint and Adobe.
  • Proven ability to improve processes and increase efficiency.
  • Experience with Work Order Management to generate, process, and complete work orders, and
