The Opportunity:


In this role, you will have an exciting opportunity to join a growing company and support KGS Group in developing this new role.

As the Fleet/Equipment Coordinator, you will manage all aspects of KGS Group's fleet, the Winnipeg storage facility and additional equipment requirements; including coordinating vehicles for project sites, maintenance of vehicles, and ensuring that our vehicles are being utilized as efficiently as possible.

You will also work with management to propose, draft, implement, and ensure compliance with policies and procedures related to vehicle, equipment and the storage facility.


Your Key Responsibilities:


Fleet Management

  • Schedule and coordinate vehicle maintenance to ensure operational efficiency in accordance with KGS Group's policies and procedures.
  • Provide input on purchasing fleet vehicles to the management group, when replacement or fleet growth is required.
  • Perform pre and post deployment inspections to ensure fleet vehicles are clean, ready to use and not compromised by any damage.
  • Use Cheqroom to reserve, checkout and coordinate efficient utilization of vehicles.
  • Assist employees to address breakdowns or incidents when assistance is needed, including remote locations.
  • Ensure that KGS Group employees are adhering to KGS Group operating procedures and practices while driving fleet vehicles and possess a valid drivers' license.
  • Be the key point of contact for renting vehicles when no fleet vehicles are available, with the goal of minimizing rentals and maximizing fleet utilization.
  • Develop strategies for greater fuel efficiency and ways to cut costs and maximize profits.
  • Collaborate with regional fleet representatives as required.
  • Approve and/or arrange for repairs, while ensuring warranties are used appropriately and invoices are sent promptly to Accounts Payable.
  • Provide occasional training to new workers on basic vehicle and equipment safety protocols.
  • Maintain detailed records of vehicle servicing, inspection, and mileage in accordance with applicable external audit systems, company policy and procedure.
  • Manage associated fleet documentation and requirements, including insurance and fuel cards.

Off Site Storage

  • Work with appropriate departments to ensure the cleanliness of the offsite storage locations (primarily Winnipeg).
  • Perform regular inspections as per company policy and procedure and report to management the necessary corrective actions / improvement suggestions.

Equipment Management

  • Manage KGS Group's equipment that is required during field work.
  • Assist in the deployment of certain company assets required for field work.
  • Purchase materials, assets, and services in accordance with policies and procedures, using costeffective and ethical approaches while meeting required criteria.

Cheqroom responsibilities

  • Add new staff as contacts in Cheqroom / verify driver's license.
  • Follow up on Cheqroom project information from employees / project managers to ensure accounting has the right billing information.
  • Review equipment and vehicle utilization to ensure equipment and vehicle are being utilized.
  • Confirm if an equipment or vehicle with zero utilization within oneyear should be removed from Cheqroom.
  • Participate in internal and external audits as required.
  • Follow up with equipment owners from various departments to keep calibration records up to date.
  • Assist to add new equipment to Cheqroom as required.
  • Perform audit of equipment and vehicle usage by comparing data from Cheqroom with Deltek vision unit entries.
  • Update equipment and vehicle billing rates information.
  • Provide a monthly report on fleet utilization and analyze data to increase business operational efficiency.
  • Work with regional equipment owners and vehicle reps to ensure Cheqroom data is up to date.
