The
Executive Assistant (to the CFO) is integral to the success of the
Finance team, and to CAAT's guiding mission and growth strategy.


We are looking for a self-motivated and professional Executive Assistant to join, support and provide direct administrative support to the Chief Financial Officer and to the broader Finance department.


We are looking for someone with:

  • Advanced skills in expense report management and financial reports on an ad hoc basis.
  • Proficiency in conducting internet research and developing leading edge presentation materials.
  • Initiative and judgement in handling all administrative matters along with a helpful attitude to provide support.
  • Excellent organizational skills with a high attention to details.
  • Strong written and verbal communication skills along with ability to manage multiple tasks in a fastpaced environment.
  • Ability to resolve priority conflicts, meets deadlines, and can manage confidential material.
  • A University, College, or Business Institute diploma in Office Administration, with five (5) or more years of progressive related office experience working with executives would be asset.
  • Proficiency in MS Office, (including Excel, Word, PowerPoint, and Microsoft BI) and be a critical thinker who can visualize interactions and workings within operations groups and be the daytoday conduit between teams.

Once here you will:


  • Prepare and arrange materials for the CFO to use and present using Microsoft Office tools. This can include but not be limited to agendas, objectives and talking points, presentation decks, meeting minutes, and other materials.
  • Prepare a biweekly executive dashboard and help coordinate updates from the team.
  • Coordinate travel arrangements, course registrations and completing membership registrations.
  • Collaborate with fellow assistants to facilitate the timely completion of meeting items and assigned actions for the CFO within established timelines.
  • Assist the CFO and the department in preparation for internal and external meetings including Board materials for Board and Sponsors' Committee meetings.
  • Maintain contacts and correspondence through a client relationship management or other system.
  • Schedule CFO outreach assisting with peer and business development networking as well as executive sessions with internal stakeholders.
  • Oversee and manage the CFO's todo list, ensuring alignment with strategic priorities, and monitor progress on projects and workplan items to ensure successful completion within set timelines.
  • Perform other related tasks as may be required from time to time.
