The job works in collaboration with the following external organization who, on a referral basis, provide information on families wanting their children registered at
Edmonton Catholic Schools:
Edmonton Mennonite Centre for Newcomers; Catholic Social Services; Multicultural Health Brokers Cooperative; and various law firms specializing in immigration law (e.g., RJA Law).
Responsibilities:
- Books family appointments and assists families in the student enrollment process
- Determines if families have a right to access to education in compliance with Immigration, Refugees and Citizenship Canada (IRCC)
- Communicates with families in accordance with the Alberta School Act Funding Manual
- Gathers information and enters data into appointment booking software
- Consults with and supports the English Language Learner Liaison Workers and the Coordinator, Community Engagement to coordinate attendance at appointments
- Acts as first point of contact for the centre
- Coordinates inquiries, issues and information arriving at the centre
- Answers phone calls and responds to general inquiries
- Provides information on program and Division policies and procedures
- Provides families with written documents required by IRCC
- Receives, sorts and distributes a variety of information by mail, fax or courier
- Handles records management including retention and disposal of documents
- Consults with Division departments for the purpose of obtaining and retaining student records
Qualifications
- High School, diploma in an area related to office administration, plus three years of related experience; Additional training acquired onthejob or in a formal educational program in accounting
- Knowledge of Immigration statuses to study in Alberta and assist families with the understanding eligibility to Study in Alberta (Funding vs Fee paying and referring to International student program) based in Alberta Education regulations is essential.
- Knowledge of student records and electronic financial systems and any other applicable databases
- Advanced knowledge of office procedures, routines and equipment
- Strong verbal and written communication skills, good organizational and time management skills with the ability to balance conflicting priorities
- Strong teamwork skills and the ability to work independently
- Knowledge of Microsoft programs including Office 365, Word, Publisher, Outlook and Internet Explorer
- General knowledge of IRCC and Alberta School Act regulations, Awareness of the curriculum and student funding policies and procedures
- Ability to work with numbers and attention to detail is required in all facets of the job
- Ability to develop and maintain contacts with school and Division staff and clients, requiring tact and courtesy
