    Executive Assistant to a SVP and VP


    This is a one year contract.

    Salary range is 60,000-70,000, full benefit plan, 3 weeks of vacation, and employee perks

    This is a hybrid role, and you will be required to work in the office 3-4 days per week and the office is in Waterloo.

They are seeking an Executive Assistant to support a busy and dynamic SVP and VP. In this role you will be responsible for assisting the SVP and VP with high-level administrative support.     Executive Assistant duties and responsibilities

    • Provides administrative support to the SVP and VP including calendar management, drafting documents, travel arrangements, maintaining contact and distribution lists and preparing expense claims.
    • Represents the SVP and VP in a professional, customer-focused manner, serves as the main point of contact for internal and external stakeholders.
    • Supports the SVP and VP by taking minutes for committee, regular and ad hoc meetings.
    • Prepares presentations and a variety of external correspondence.
    • Plan and organize staff engagement events and milestone celebrations.
    • Preparation and follow-up for events and meetings including scheduling, inviting guests, preparation and distribution of all event/meeting materials, and booking arrangements including space, refreshments and AV equipment.
    • Handles confidential and sensitive documents as required.
    • Develop relationships with other Executive Assistants, clients, strategic partners, and third-party providers to support business objectives.
    • Maintains contact and distribution lists as well as other documents related to the Board and Committees.

    Qualifications

    • A minimum of 5+ years of recent relevant experience supporting Senior Executives.
    • Experience with taking meeting minutes for high level and Committee meetings is a definite asset.
    • Excellent organizational, prioritization, and has superb time management skills.
    • Superior writing, proofreading, editing and formatting skills.
    • Highly proficient in the use of MS Office Suite programs with advanced Microsoft Word, PowerPoint and Outlook.
    • Experience managing multiple tasks/activities and highly proficient in setting and communicating priorities and timelines, handles scheduling conflicts with diplomacy.
    • Highly detail oriented.
    • Demonstrated ability to maintain confidentiality, integrity, professionalism, and diplomacy at all times and comfortable speaking with external clients/stakeholders.
    • Strong interpersonal/communication skills to interact respectfully and effectively with diverse individuals.
    • A commitment to fostering an inclusive workplace.
    • Demonstrated sound judgement and a solutions-oriented mind-set.
    • Able to attend in-person high level meetings and committee meetings.
    • A university degree or college diploma is preferred.
