Responsibilities:


Reporting to the Manger, Payroll Services, the Scheduler/Workforce Planner is responsible for delivering scheduling services and workforce planning practices to support programs and designated service/care areas.

The Scheduler is accountable to provide consistent, leading practice, fiscally responsible & customer focused rotation building, shift filling and schedule maintenance services with a high level of customer satisfaction and low level of timekeeping and scheduling errors.

The Scheduler are an active participant in all strategic planning and hospital wide initiatives.

  • Provide support and direction on scheduling and workforce planning through best practice solutions, evaluating alternative scheduling methods and determining impact to overall scheduling efficiency
  • Provide consistent staff scheduling and workforce planning services to Managers of the Program service/care areas
  • Support management and staff in the development and maintenance of optimal rotations to best meet service/care needs
  • Give consideration to coverage requirements, available resources, scheduling constraints in line with the union Collective Agreements
  • Provide practical rotation options that support recruitment and retention strategies including calculating and providing managers with allowable vacation quotas on a regular basis
  • Generate reports and statistics as needed
  • Log daily staffing changes
  • Consistently maintain accurate records

Qualifications:


  • College certificate/diploma in a Business related field preferred along with three (3) years recent experience in a scheduling/administrative environment
  • Minimum of 3 years' experience in healthcare services environment required, utilizing a computerized scheduling system would be preferred
  • Understanding of Collective Agreements and scheduling rules in a health care environment is preferred
  • Experience with Meditech, Kronos, payroll systems, scheduling, forecasting, and workforce management software an asset
  • Experience and skill at building budget balanced master rotations
  • Must be process driven with a strong attention to detail, excellent organization, time management, priority setting skills and maintain confidentiality at all times
  • Demonstrated ability to work in a confidential environment is required
  • Experience in a human resources or employee services department is preferred
  • Strong customer service, problem solving and financial analysis skills
  • Ability to work well under pressure with people sensitively, tactfully, diplomatically, confidentially and professionally at all times
  • Ability to respond quickly in a dynamic and changing environment
  • Strong work ethic, highly motivated and displays a positive team attitude
  • Exceptional knowledge of MS Office products (Word, Excel, Outlook) and familiarity with Excel spreadsheet concepts and keyboarding skills of 60wpm required
  • Proven communication skills: verbal, written, and interpersonal
  • Excellence in attendance, punctuality and work record
