Detailed Overview:

Under the supervision of the Manager, performs data entry/collection and clerical functions related to scheduling, registration and admission of dialysis patients.

Provides reception and clerical functions to the renal unit, prints daily flowsheets and staffing rotations, transcribes assignments and physician's orders, and schedules appointments for patient activities.

Works collaboratively with the interdisciplinary team to meet the needs of patients and families.


Responsibilities:

  • Performs data entry/collection into the Patient Records, Outcome and Management Information System (PROMIS) related to patient dialysis scheduling, registration and admission with the BC Provincial Renal Agency in accordance with established procedures. Produces related PROMIS reports for the manager.
  • Maintains BC Provincial Renal Agency patient records by obtaining and entering information including patient demographics into PROMIS database. Ensures patients' charts and test results are available; completes and types related forms and forwards to appropriate staff/department.
  • Receives patients upon arrival to the area and obtains/confirms information required to register the patient; registers patient in the computerized admission/discharge/transfer system and completes related registration documentation.
  • Transcribes, prioritizes, processes and coordinates physician's orders by copying information, completing required forms and/or entering information into the computer; performs necessary follow up action as required.
  • Performs reception duties, including greeting and directing visitors, answering the telephone, taking messages, answering routine inquiries and directing calls.
  • Enters, updates, and/or cancels prescriptions in the PROMIS database. Ensures completion of required data for anemia management is entered into PROMIS, in accordance with hospital policy.
  • Schedules patient activities including diagnostic procedures and appointments by contacting appropriate departments; maintains related records.
  • Performs clerical duties including maintaining and updating lists and records such as patient care lists, physicians calendars and staff call lists, in accordance with established procedures. Files, enters computer data, types and photocopies as required.
  • Participates with manager on PROMIS teleconference calls with the BC Provincial Renal Agency on matters related to database functions.
  • Participates in the orientation of clerical staff and responds to questions and inquiries related to PROMIS data collection.
  • Performs other related duties as assigned.

Qualifications:

Education and Experience


Grade 12, plus graduation from an approved Nursing Unit Clerk program plus one (1) year of recent related experience, or an equivalent combination of education, training and experience.


Skills and Abilities

  • Ability to type 40 wpm.
  • Knowledge of medical terminology.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to operate related equipment.
  • Ability to organize work.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
