The primary responsibility of the Service Administrator is to provide administrative support with the day-to-day Service Department operations providing support to our service technicians, supervisors, managers, and clients.

This will be accomplished through performance of administrative duties ensuring that standard company procedures and specific instructions are followed.

The Administrator role is responsible for assisting in the Service Client data base entry and maintenance in our computer-based program (JD Edwards) which would include professional customer service, supporting service, FMO, S4 and project work orders, project jobs, purchase orders, changing of work order statuses, closing work orders, managing work order back log, and completing through to invoicing the customers for all demand service work completed.


Summary of Duties:

Providing telephone support; dispatching, investigating and resolving client inquiries

  • Administrative support for managers, supervisors and service technicians
  • Opening new Vendors and Customers in JD Edwards
  • Open/Manage work orders (WO)
  • Open/Manage purchase orders (PO)
  • Demand Work Order Life Cycle-Set Up, Review, Invoicing, and Gross Margin Report Review and Maintenance
  • Maintenance of billing tables in JD Edwards
  • Halifax Water administration duties for completed backflow device testing
  • Manage WO Unbilled report and PO RNV report
  • Respond to inquiries regarding accounts payable/receivable
  • Prepare customer reports as required

EDUCATION REQUIREMENTS

  • Administration or Accounting Certificate/Diploma would be considered an asset, but not required

WORK EXPERIENCE REQUIREMENTS

  • Administration experience would be considered an asset;
  • Knowledge and/or experience in accounts payables/receivables would be considered an asset;
  • JD Edwards or similar CRM experience would be considered an asset;
