Responsibilities and Duties:


Administrative Support:


  • Efficiently maintain electronic and paper filing systems
  • Effectively manage calendars and schedule appointments for the Property Manager and yourself
  • Assemble and distribute a variety of reports, accurately and efficiently
  • Draft and coordinate schedules
  • Process and log work requests accurately
  • Create and share educational materials for the community, tenants, and employees
  • Provide rent collection assistance
  • Act as a reliable backup for building access programming and housing administration
  • Maintain an uptodate inventory of department supplies and place orders as required
  • Deliver professional administrative support to Skowkale hatchery activities, programs, and guests
  • Oversee the scheduling of internal vehicle requests
  • Offer comprehensive administrative support to the Property Manager as needed

Communication:


  • Cultivate positive interactions and forge strong working relationships with community members and tenants as well as employees
  • Professionally answer and redirect incoming phone calls, or take messages accordingly
  • Create, edit and distribute departmental communications to the community, tenants, and employees, using a variety of communication vehicles
  • Provide support to team members through effective communication and administrative tools

Coordination and Planning:


  • Coordinate employee sessions in alignment with annual plans
  • Facilitate team meetings and organize teambuilding activities
  • Track and follow up on action items identified through Property Manager meetings
  • Track and update project progress
  • Monitor and update the progress of department projects

Software and Systems Management:


  • Update maintenance software as required
  • Provide relevant information, communication and training regards to the maintenance software

Knowledge, Skills, and Abilities

  • Experience working with First Nation communities in a similar capacity
  • The ability to work independently with mínimal supervision and collaboratively within a team
  • Enhanced oral and written skills with strong attention to detail
  • Exceptional interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Good organizational skills and initiative
  • Strong experience and knowledge of office administration
  • Ability to exercise and model a high degree of professionalism and confidentiality
  • Foundational knowledge of MS Word, Excel, PowerPoint, Outlook, and design software, such as Publisher or Canva
  • Demonstrated problemsolving skills and initiative
  • Ability to contribute to the development of a professional and collaborative working environment
  • Good time management skills and ability to meet deadlines

Training, Education, Certification, and Experience_

  • Minimum two (2) years of experience in an administrative role, within a First Nation community is preferred
  • Post-Secondary education in business, governance or a similar field is an asset
  • Satisfactory Criminal Record and Vulnerable Sector Check
  • Valid B.C. Class 5 Driver's license

  • Because we work with a variety of stakeholders and communities, we require that all employees be vaccinated.

Terms of Employment:_

  • Employee signs a standard form contract of employment.
  • To ensure the health and safety of all employees and members of the community we have adopted a mandatory vaccination policy.
  • Term of employment is permanent, Full Time (35hrs/week)
  • Hourly wage of $ $28.04 per hour, payable biweekly and not in advance.
  • If no exemption applies, deductions will be made at source according to law.
  • If applicable, employer contributions will be made at prescribed rates to CPP, EI, WCB and vacation pay.
