Responsibilities:


  • Act as the first point of contact for medical trainees responding to inquiries and redirecting as appropriate
  • Maintain calendars of incoming trainees and educational events
  • Responsible for verifying the accuracy and completeness of information and providing detailed information on eligibility requirements, procedures and deadlines
  • Coordinate, create and update learners' rotations, organizing data and generating reports
  • Coordinate and track teaching hours and reconciling those with the University reports
  • Track and reconcile and monitor distribution of preceptor payments
  • Provide orientation for new learners joining the Hospital Network at all three sites
  • Act as liaison for Undergrad and Postgrad coordinators at the University
  • Process faculty appointments by verifying the accuracy and completeness of information, monitoring process, tracking the data.
  • Draft letters of support for Chiefs
  • Support various committee meetings
  • Other duties as required by the director and the VP of Education

Requirements:


  • Undergraduate degree in a relevant field required or higher
  • Minimum two years of related administrative experience, preferably in a University or postsecondary environment or hospital education office
  • Demonstrated student services experience and direct experience working with faculty
  • Demonstrated experience coordinating academic programs, coordinating examinations, schedules and timetables, and verifying and monitoring student records
  • Experience maintaining calendars and drafting professional level communications
  • Experience supporting committees and coordinating events
  • Advanced proficiency with MS Office Suite
  • Preferred Experience with student information systems (ROSI/ACORN/TIME/POWER/MEDSIS), learning management systems (Quercus)
  • Must be extremely detailed oriented and demonstrates ability to prioritize tasks appropriately
  • Excellent customer service skills, oral and written communication skills
  • Excellent organizational and time management skills
  • Strong initiative, attention to detail, interpersonal, proactive and highly resourceful
  • Proven ability to work independently and effectively manage competing priorities while maintaining a high degree of accuracy and quality
  • Must be able to cope with pressures and deadlines while adapting to evolving processes and procedures
  • Excellent judgement and diplomacy on confidential issues
