Canada Profi Lubricants Inc. is located in Vaughan (Highway 7 W), Ontario. Our company focuses on selling auto lubricants such as engine oil, car care, anti-freeze, etc.

We are currently looking for an Administrative Assistant to provide assistance to our management team.


Some of the main duties for the position:

  • Preparing, keying in, editing and proofreading correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy
  • Scheduling and confirming appointments and meetings of management
  • Holding meetings on Skype, Teams, and ZOOM, and took Minutes of Meeting (MOM)
  • Opening and distributing incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
  • Scheduling and confirming appointments and meetings of employer
  • Completing bill payments and other office duties
  • Ordering office supplies and maintain inventory
  • Answering telephone and electronic enquiries and relay telephone calls and messages
  • Setting up and maintaining manual and computerized information filing systems
  • Determining and establishing office procedures
  • Greeting visitors, ascertaining nature of business and directing visitors to employer or appropriate person
  • Arranging travel schedules and making reservations
  • Compiling data, statistics and other information to support research activities
  • Supervising and training office staff in procedures and in use of current software
  • Requesting various quotes such as shipping, insurance, and products
  • Creating Commercial Invoice and Packing list; and helping with creating and labeling pallets organized in accordance with the Commercial Invoice info; communicating with required regulatory bodies while preparing shipment for export
  • Providing documents to the company's accounting department
  • Depositing cheques from firm sales

Key requirements:

Have a high school diploma

Experience in a related administrative occupation

Must be punctual

Must be confident, self-motivated and goal-oriented personality

Have an exemplary interpersonal skill

Have adequate English skills, and knowledge of the Persian language

Have a minimum 3 years of experience as an Administrative Assistant is an asset

Must be eligible for bonding and insuring

Must complete a criminal background check

Education:


  • Secondary School (preferred)

Experience:


  • Front desk: 3 years (preferred)
  • Administrative experience: 3 years (preferred)

Language:


  • Farsi (preferred)
