This position is situated in the McGill Engineering Student Centre, Faculty of Engineering. This is a position without an end date.


Position Summary:


Provide the integration of McGill's values, standards, and goals with respect to student life and learning into University policies, operations and procedures.

Ease students' integration into University life, support students' learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment.

Provide student admissions and enrolment services for undergraduate, graduate, certificates and diploma programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance.

Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs.

Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation.


Primary Responsibilities:

  • Advises students at the undergraduate level on a wide variety of issues. Answers questions related to student records, student affairs, admissions, registration, scholarships, awards, transfers, readmission, exchanges and general inquiries.
  • Provides guidance and support regarding student and academic policies, procedures and services. Recognizes and encourages students to seek counselling where necessary.
  • Participates in degree evaluation for students who have applied to graduate.
  • Administers and assists in the organization of events (i.e. Open House, CSI McGill, RACE Days, CEGEP Caravans, orientation sessions).
  • Supports the administration of the faculty class scheduling process (in collaboration with schools, departments and the University's Class Schedule Office), and the use of general classroom space within Engineering buildings (in collaboration with Enrolment Services)
  • Creates and maintains course sections for Engineering internship program courses
  • Monitors and approves registration permits for nonengineering service courses; consults units where needed. Resolves course registration enrolment issues in consultation with departments and central scheduling office
  • Circulates calls for external scholarships, establishing processes for those requiring Faculty approval, as well as the awarding process for incourse awards for undergraduate students (including the monitoring of balances and transactions, oversight of award payments to students, etc.)
  • Administers processes relating to payments for Faculty administered undergraduate scholarships, prizes, awards, and medals, including the tracking of scholarship illegibility (registration), final reconciliation of award payments, and accurate record keeping
  • Reviews, verifies and requests modifications to the student records production schedule produced for each academic term. Evaluates requests for new reports and guides users on such requests
  • Participates in the administration of the Summer Undergraduate Research in Engineering programs
  • Takes part in committees and projects, as requested
  • Makes website updates, as required

Education and Experience:


  • DEC III
  • Three (3) years' related experience

Other Qualifying Skills and/or Abilities:
Experience in student affairs. Demonstrated organizational skills and ability to multi-task. Ability to prioritize, meet strict deadlines and to work under pressure. Must be service-oriented and able to transmit and receive information accurately. Excellent written communication and interpersonal skills. Demonstrated ability to work in a PC environment using Windows, word-processing, databases, spreadsheets, Banner, Minerva (SIS). Knowledge of French and English.
