POSITION OVERVIEW:
- The Receptionist will perform a variety of confidential administrative and organizational duties, requiring flexibility with assignments. The Receptionist will have a strong background supporting administrative functions to assist the overall office. This position is based in our Oakville Office. The individual will report to the Office Manager.
DISTRICT OVERVIEW:
- Eastern Canada District's projects include highways, bridges, mass transit, mine site development & open pit operations, hydroelectric powerhouses, windpower plants, dams & industrial. The serve the construction and mining industries and operates in Eastern Canada.
LOCATION:
- This position is based in Oakville
RESPONSIBILITIES:
- The Receptionist will support the team in the following areas:
- Manage main reception desk
- greeting visitors and directing them as needed
- Liaise with Property Management
- Receive and route incoming packages and mail
- Assist with sending packages and mail
- Assist in maintaining a clean and efficient office environment, including kitchen and boardroom areas
- Maintain office supply inventory and unpack supplies
- Scan, copy and distribute correspondence or other printed materials
- Process expenses for team members and support the office manager in their role as it relates to expense processing
- Assist with scheduling conference room bookings
- Ordering and receiving catering orders for team members' internal and/or external business meetings
- Work closely with the office personnel and assisting them in various administrative tasks, as may be required
- Other administrative tasks, as may be required
QUALIFICATIONS:
- Relevant college / postsecondary education
- Relevant administrative experience
- Excellent spelling and grammar skills
- Excellent communication skills (verbal and written)
- Excellent organizational and time management skills
- Ability to multitask and prioritize
- Ability to work well with others in all capacities within the company
- Experience with Outlook, Microsoft Word, Excel & PowerPoint
