Company Description:
Reporting to the Executive Assistant to the VP/GM, you will provide direct administrative support to the Red Bull Canada Leadership Team.
Responsibilities will include key administrative tasks such as calendar management, expense reporting, travel booking, coordination of on-site and off-site meetings, preparation of PowerPoint presentations, report distribution and record-keeping and project support.
LEADERSHIP TEAM SUPPORT
Manage calendars and assist with time management and prioritization
Coordination of travel requirements
Process expense reports
Assist with written communication requests and creation/development of PowerPoint presentations
Support managing documentation and tracking of project milestones, schedules and resources needs
Compile and distribute monthly reports, scorecards, tracking and creating other documentation as required
Provide admin support to annual business planning process
Support with special projects as required
MEETING & EVENT SUPPORT
Manage Marketing and Sales department calendars, schedule, and coordinate team meetings
Develop meeting agendas and provide action item re-caps to the team when needed
Plan, coordinate, and execute all logistics for departmental meetings as requested by the Leadership Team, including on-sites, off-sites, workshops, and team building events
Support with participation as required
OTHER ADMINISTRATION DUTIES
Be a resource for department new hires and support with on boarding process
Other administrative duties as assigned
Qualifications:
Previous experience in an administrative and/or assistant position, preferably supporting multiple executives and teams, with strong references
Experience using MS Suite - Teams, Word, Excel and PowerPoint
Experience in coordinating large events and meetings
Ability to complete assigned tasks without prompting, work efficiently with autonomy
Manage a high volume of work in a fast-paced environment under tight deadlines
Excellent organization and project management skills, effectively prioritize projects and tasks
Quick learner that grasps concepts and processes easily
Detail oriented - accurately checks processes and tasks
Excellent written communication and interpersonal skills
Capable of and enjoys working with diverse personalities
Strong sense of responsibility, accountability, and ownership
Ability to keep sensitive department matters confidential
