The Property Administrator ensures that assigned properties within his/her portfolio are operated and maintained in a cost-effective, safe and efficient manner.

The Property Administrator supports the Property/Facilities Manager in this activity. The role of Property Administrator is key to maintaining strong tenant relationships in both our residential and commercial properties.


Key Responsibilities

  • Perform entry of payables, including coding and data input.
  • Accounts receivable.
  • Entry of all deposits and maintain records as necessary.
  • Complete tenant statement of accounts.
  • Respond to tenant queries regarding charges.
  • Complete Rental Advice Notices to new tenants and all tenants annually.
  • Keep track of tenant rental step ups and send notices to tenant.
  • Complete monthly AR reports with updates on any arrears.
  • Preparation of deposit slip for delivery to bank.
  • Assist the Property/Facilities Manager with collection activities.
  • Complete annual rent increase notices for residential tenants.
  • Complete all notifications for residential tenancy collection enforcement including N4's and other documents.
  • Carry out proper notices for late payment, eviction, etc., for residential tenants.
  • Track tenant commencement dates in order to ensure proper accounting and rent commencement.
  • Prepare and ensure tenant execution of residential leases.
  • Prepare request for credit checks and background checks on residential tenancies.
  • Maintain current tenant contact information and update Yardi.
  • Compile and distribute percentage rent invoices.
  • Collect all tenant invoices.
  • Prepare rent commencement letters for welcoming new tenants.
  • Prepare tenant chargeback invoices.

QUALIFICATIONS

  • Ability to communicate effectively and professionally. Excellent verbal and written communication skills. Must be fluent in written and spoken English.
  • Enjoys interacting with people with the ability to be assertive, while maintaining a professional demeanour.
  • Exceptional organizational and time management skills, with an ability to manage multiple demands, prioritize and complete tasks, be flexible and adaptable to change, and perform efficiently under tight deadlines.

REQUIRMENTS

  • 2+ years' experience in a similar role within property management or commercial real estate industry.
  • 25 years' experience with accounts receivable.
  • Computer literacy in Microsoft Office, including advanced knowledge of Excel and Word.
  • Proficiency in Yardi Property Management software.
  • Experience with contracts and leasing agreements.

Salary:
$60,000.00-$75,000.00 per year
