Description

NATURE OF WORK

  • The principal and customary work of employees in this employment class consists in performing various technical tasks of an administrative nature. They assist support personnel as well as users of the department concerned.
  • Regarding office automation, he coordinates the team's work or carries out the more complex technical tasks.


  • RESPONSIBILITIES

  • Provide faculty with information and guidance regarding provisions of the Collective Agreements;
  • Ensure the postings of regular day, Continuing Education, replacement leaves and workloads;
  • Generate and prioritize list of applicants for all faculty postings and oversee the communication with the Bureau de placement;
  • In coordination with Academic Systems, department chairs and program coordinators, validate all workload adjustments and nonpermanent workload assignments for pay, priority and seniority recognition;
  • Participate in the orientation process of new hires;
  • Ensure the proper classification and evaluation (schooling and experience) of employees in accordance with the provisions of the Collective Agreement(s) in force;
  • Prepare seniority lists, priority lists and all other lists required by the College to manage human resources and ensure that all human resources reports, as prescribed by the Collective Agreements, are accurate and available on a timely basis;
  • Assist with interpreting and analyzing data, reports, and summaries for the HR systems; assist with testing and troubleshooting the HR systems as required;
  • Act as resource person for all nonmedical leaves of absence provided by the Collective Agreements (e.g. personal, professional development, voluntary workload reduction and sabbatical plan), and ensure that they are appropriately processed;
  • Participate in the creation of procedures, guidelines, and policies pertaining to the Human Resources dossiers;
  • Assist in the development of efficient processes and streamline related tasks to ensure a smooth functioning;
  • Create files, complete and validate entries in the HR systems;
  • Train Human Resources administrative staff and staff of other departments, as needed.
  • Perform other related tasks.

Length of the contract:
February to August 2023


Requirements:


  • QUALIFICATIONS
  • In the administration field, have a diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, a diploma of college studies (DEC) in office automation with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.


  • CONDITIONS

  • Excellent organizational and problemsolving skills, and ability to work with tight deadlines;
  • Detail oriented;
  • Excellent interpersonal skills and proven ability to work in a team;
  • Ability to take initiative in a variety of situations;
  • Advanced English communication skills (testing may be required);
  • Intermediate oral and written French communication skills (testing may be required);
  • Intermediate Microsoft Word and Excel skills (testing may be required);
  • Must be able to maintain department standards with respect to the confidentiality of information;
  • Additional educational training in Human Resources an asset.
