VOLUNTEER SERVICES ASSISTANT
Summary


Under the direction of the Administrator Volunteer Services, the Volunteer Services Assistant supports system-wide volunteer services of the London Public Library, assisting with the recruitment, training, and day-to-day activities of the volunteers to meet London Public Library's ongoing needs.

This position serves as a key customer service point of contact with members of the public interested in volunteering with the London Public Library.


KEY ACCOUNTABILITIES:
Working under the direction of the Administrator, Volunteer Services, this position:
Volunteer Recruitment and Selection

  • Receives and responds to inquiries relating to volunteer opportunities
  • Assists with the selection process, ensuring all processes are aligned with sound human resource practices and Library policy.
  • Participates in Interviews when required
  • Prepares written offers of acceptance for volunteer positions
  • Assists in providing orientation to new volunteers.
  • Assists with training of volunteers
Team Building & Volunteer Development

  • Assists with building teamwork among the volunteers and between the volunteers and Library staff and reports concerns as needed
  • Collaboratively works to develop and implement a meaningful Volunteer Recognition Program.
  • Complies with the Collective Agreement and Library policies and procedures relating to union work. Seeks guidance when new opportunities have been identified.
  • Promotes and represents the Library in the community at volunteer fairs and other opportunities as they arise
  • Works with union and nonunionized staff on administering and supporting the Library's volunteer services program.
Day-to-day Operations

  • Maintains accurate and uptodate confidential volunteer records.
  • Works with the Administrative Assistant to organize and coordinate volunteer schedule
  • Works with the Administrative Assistant to maintain volunteer database, ensuring accuracy and completeness of information.
  • Ensures the provision of exceptional internal and external customer service by responding to all requests in a timely manner.
  • Provides input into the development, and implementation of volunteer operational processes to ensure efficiency and effectiveness.
  • Assists in gathering feedback and evaluation, written and oral, from volunteers and Library staff
  • Assists with communication to keep volunteers apprised of program goals and other pertinent Library information.
Team Leadership

  • Assists in creating a team environment which fosters and develops high performance and effective working relationships.
  • Assists in building support for Library strategic plan and departmental goals/objectives
  • Continually looks for opportunities to improve and maximize the efficiency and effectiveness of Volunteer Services.
Other

  • Keeps current in the area of Volunteer Management through continuing education, attendance at conferences and workshops, participation in professional associations, and by reading professional literature to enable the Library to be an early adapter of key and appropriate Volunteer Management ideas, programs and processes.
Performs other related duties as assigned.


QUALIFICATIONS:


Education
Successful completion of a two-year post-secondary education in related field. Courses in human resources or volunteer management foundation would be an asset.


Experience

  • Two years of experience in working in volunteer services
  • Exceptional oral and written communication and presentation skills, including public speaking ability.
  • Experience in a unionized environment is an asset.
  • Ability to work with many different age groups
  • Excellent computer skills including proficiency with Microsoft Word, Excel, and Power Point.

Working Hours:


  • Parttime work up to 20hour per week.
  • Availability to work evening and weekend hours to participate in interviews, training and attend events such as recruitment fairs, community events, etc, (no shift or premium paid).
