Qualifications:

Essential:


  • Exceptional attention to detail, responsible for ensuring accurate record keeping and database management.
  • Strong organizational skills with the ability to independently establish work priorities to meet strict and changing deadlines
  • Extensive experience providing administrative and secretarial support to senior level staff including liaising with stakeholders, managing a general inbox, scheduling meetings and implementing process steps.
  • Experience working with highly sensitive material in a confidential and professional manner.
  • Excellent research, analytical and problem solving skills with the ability to exercise a high level of initiative.
  • Excellent interpersonal skills, including political acumen, with the ability to build working relationships with internal and external stakeholders, as well as coach, mentor and lead a team in a fast paced environment.
  • Experience managing correspondence and maintaining filing and document tracking systems.
  • Strong verbal communication skills with the ability to communicate clearly and professionally with the public, staff and stakeholders over the phone and in person.
  • Extensive experience working with Microsoft Office programs including Word, Excel, Outlook and PowerPoint.
  • Excellent written communication skills with experience drafting, formatting, editing and proof reading correspondence for various audiences.

Desired:


  • Experience supervising employees including delegating work assignments and monitoring work flow
  • Experience working in the Manitoba Legislative building environment providing administrative and secretarial support is preferred.

Duties:


The Administrative Officer is responsible for ensuring the ABC office functions in a highly organized and efficient manner, providing highly professional and confidential analytical, managerial, and administrative services to assist management in carrying out responsibilities.

The role also functions as the office manager.

Duties include orderly and timely transition of ABC appointments, project assistance, website management as well as implementing and managing standard procedures and process across government with respect to the administration and appointment of ABCs.
