Description
Position:
Administrative Assistant and Personal Assistant to Practice Manager of multiple companies.
Location:
Private Home Office, St. Catharines/Port Dalhousie (not a work from home position)
Status:
Part-time to start hours per week), potentially leading to increased hours
Duties and Responsibilities:
- Answering and making phone calls and taking detailed messages; relaying messages to the employer in a timely manner
- Opening, dating, and properly sorting mail
- Making travel reservations, e.g., hotels, flights, trips, car rentals, etc.
- Registering for events, e.g., seminars, webinars, memberships, professional organizations, etc.
- Preparing and maintaining physical and electronic files
- Uploading documents to various platforms
- Organizing
- Preparing, completing and updating forms and documents
- Paying bills (e.g., inperson banking, telephone payments, online payments, etc.)
- Running various errands (e.g., groceries, dry cleaners, library, banking)
- Photocopying, printing, scanning and faxing
- Assisting with scheduling and calendar management
- Occasional preparing of beverages for the employer etc.
- Other duties as assigned and required by management
Qualifications:
- Office administration experience
- Driver's license and own vehicle
Police criminal record and judicial matters check within past year required:
- Knowledge in Microsoft Office (Excel, Word)
- Knowledge in Google (Gmail, Calendar, Docs, Sheets)
- Strong organizational skills a must
- A high level of confidentiality
- Strong communication skills, both written and verbal
- Excellent time management skills the ability to coordinate multiple responsibilities, meet deadlines and prioritize your work load appropriately
- Ability to multitask/task switch
- Attention to detail
- Ability to accept constructive criticism
- Ability to work under stress and meet deadlines
Smoke Free Environment
- Diploma in office administration an asset
Job Types:
