Job Summary:


The
Administrative Assistant & Receptionist is responsible to provide ongoing receptionist and administrative support to Reena at an assigned work location and provide back up support where required.

Duties will include, but not limited to serving all visitors, residents and staff in a welcoming manner and directing them appropriately, notifying staff/residents of visitor arrival, maintaining telecommunications systems, responding to both internal and external inquires, mail and parcel delivery tracking and management, scheduling meetings and appointments and working collaboratively with staff and external visitors while operating in a professional and respectful manner that promotes the mission, mandate and values of Reena.


JOB RESPONSIBILITIES:


  • Provides reception and greeting for incoming visitors and staff both in person and in electronic forums
  • Provides administrative support, including general filing, inputting electronic data/information, preparing and distributing computer documents (public service announcements, memos), letters and other documents as required
  • Updates all related forms and data/information
  • Develops and monitors clerical related system to increase efficiency of department
  • Creates reports as required
  • Assists in preparation for compliance audits
  • Procures supplies for department as needed
  • Coordinates meetings for team
  • Records and prepares meeting minutes
  • Provides training and mentorship to potential trainees for the role
  • Other administrative duties as assigned in relation to departmental needs

FORMAL EDUCATION AND EXPERIENCE:


  • Minimum of 23 years of administrative experience
  • Diploma in a related field
  • General knowledge of nonprofit environments preferred
  • Experience with the developmental sector preferred
  • Basic knowledge of Judaic customs (an asset)
  • Proficient in technological uses, including but not limited to the use of Microsoft Office Suite, spreadsheets, internet research and social media

Reena is a non-profit organization that promotes dignity, individuality, independence, personal growth and community inclusion for people with diverse abilities within a framework of Jewish culture and values.

Reena was established in 1973 by parents of children with developmental disabilities as a practical alternative to institutions.

In 1977, Reena began receiving funding from the Ontario Ministry of Community and Social Services and since that time has grown to provide support for hundreds of individuals with developmental disabilities and their families.


Reena offers a variety of services including:
residential support, respite programs, counselling, therapy and advocacy.
