Position summary


The Faculty of Engineering has developed a bold and multi-faceted Strategic Plan to address the key challenges facing the faculty in growing and improving teaching, research, and service activities.

To execute this Strategic Plan, the faculty is developing a dedicated initiatives team that will support the entire project life cycle.

This dedicated initiatives team is called the Project Management Office Team (PMO).


Reporting to the Senior Consultant, Portfolio Projects (PMO Team Leader), the Project Coordinator (PC) is a key part of the PMO Team responsible for the successful planning, execution, monitoring, control, and operationalization of various infrastructure, curriculum programming, database management, and operational projects performed, working closely with Project Sponsors, Subject Matter Experts and Stakeholders.

The Project Coordinator works collaboratively with a small, dedicated team l that forms the core of every project team created.

For most projects, but not all, the PC works with a Project Manager (PM). There may be opportunities when the PC is assigned a project without a PM.


Duties

Project support

  • Primary project support for all projects in the portfolio and within the PMO
  • Works closely with the PM, Project Sponsor, Subject Matter Experts (SME), and Stakeholders (SH) and Support Staff to deliver on project purpose, goals, objectives,milestones, activities, and tasks
  • Support the development of the Project Management Plan for projects, including assessing project feasibility, collecting requirements, determining scope, and cowriting the project charter.
  • Support the PM in assigning, monitoring, and reviewing work performed by the project team
  • Assists developing the project's Work Breakdown Structure (WBS), and updating and managing the project schedules, with dates, dependencies and assigned resources,
  • Using their knowledge and judgment, routinely assists with the risk assessment of projects and communicates those to the P
  • Prepare project status reports, workload assessments
  • Act as the primary backup for the PM of the project as needed, including chairing project meetings
  • Assist, when required, to perform primary and secondary research for the project including environmental scans, competitor/peer reviews, web searching, literature reviews, and product reviews as required for the project
Document/Data Management

  • Develops, manages, and maintains a diverse range of documents, reports, and sheets in the project folders
  • Acts as an expert user and manager of the Project Management software platform
  • Produces projectrelated design drawings, diagrams, flow charts, organizational charts, process maps, etc
  • Maintains all records of meetings and action items
  • Maintains all records of any legal documents or paperwork required
