Job Summary

RESPONSIBLE TO:
- Develop program schedules in conjunction with Associate Directors and Supervisors
- Effectively manage daily sick callins from staff in various programs
- Ensure GL code, shift code, pay code accuracy
- Complete ongoing maintenance of the online scheduling program, Comvida
- Follow compliance as it pertains to the Collective Agreement, TDCSS policy and procedures and Canadian Labor laws
- Manage casual employee schedules including monthly, weekly and daily scheduling
- Schedule and book new hire program orientations, as well as training and staff development as required
- Effectively schedule vacation periods, following the Collective Agreement as it pertains to the biannual requests periods within the calendar year
- Effectively schedule ongoing timeoff requests as they are submitted by employees, based on the operational needs of the organization
- Enter data into Comvida as required (certifications, training, skill sets etc.)
- HR filing as needed
- Run reports using Comvida as requested
- Understand the complex needs of the organization, considering the needs of the funder, Collective Agreement and personnel when making decisions
- Support hiring processes
- Maintain confidentiality in relation to organizational HR information (i.e. staffing related matters, Labor relations matters, hiring matters)
- Professionally handle any emergent needs as required by the HR department
- Complete Reference checks.
- Must be able to process a lot of information quickly and work quickly
- Any scheduling duties as it relates to the HR department
Hours:
2 positions - 35 hours per week FULL-TIME.
Non-Union
Shifts:
Monday to Friday as to be determined; specific shift times may be either morning 7 am to 3 pm (Morning) and afternoon 2.30 pm to 10.30 pm.

Education
Required:
- High school diploma (or equivalent)
Preferred:
- A relevant diploma or certificate in Human resources
Experience
Preferred:
- Previous clerical or administrative experience
- Previous experience with HR scheduling systems and HR generalist position
Qualities
- Ability to learn moderate to complex computer programs and processes
- Excellent phone manner
- Advanced communication and organizational skills
- High level of Professionalism
Others
- Demonstrated competency in written & verbal communication
- Provide for clerical needs of personnel in a respectful, proactive manner as directed by the Director of Human Resources
