Position Overview

Responsibilities

  • Receives, faxes and forwards mail to the appropriate person.
  • Maintains reception area, conference rooms, and kitchen areas, which includes cleaning the countertops and tables, as well as the kitchen appliances and load, start and empty the dishwashers.
  • Manages the boardroom reservation system. Assists with conference calls, audiovisual needs. Assists with scheduling meetings and preparing conference rooms.
  • Takes all steps necessary to send mass mailings on a very regular basis (checks approval of mailings, updates mailing lists, proceeds with the mailmerge, prints and assembles documents, stamps the envelopes, etc.)
  • Responds to routine inquiries and provides information. Maintains confidentiality of some information as well as maintaining the company's image.
  • Greets and announces clients, applicants and visitors. Creates passwords to grant them access to the company's Wi-Fi network.
  • Manages and orders office supplies, paper, ink cartridges, coffee, milk, etc.
  • Interacts with caterers/vendors for events as well as for guaranteeing daily general operations of the office.
  • Other duties may be assigned.

What we require

  • College Diploma required.
  • Fully bilingual with excellent written and spoken French and English
  • Ability to write routine correspondence and to respond to common inquiries or complaints from clients, coworkers, and/or supervisor.
  • Intermediate skills with Microsoft Office Suite.
  • Ability to be efficient, timely, and reliable in a teamwork setting,
  • Ability to work under tight deadlines and reprioritize workload to accommodate new projects/requests,
  • Ability to work with mínimal to no supervision.
