About Yoga Mamas:


Established in 2012, Yoga Mamas is Toronto's leading maternal wellness centre providing wellness treatments and services from fertility to family.

The clinic boasts 5000 square feet of sunlit space with 10 treatment rooms on two floors and a large movement studio, and we are growing.

Though our name includes the word yoga - fitness is just one important piece of our multifaceted wellness business.


Over 35 healthcare practitioners, alongside a team of educators and fitness instructors, provide maternal health and lifestyle wellness services for a range of clients with preconception needs, pregnant clients, to postpartum care and care for their families.

Our team of specialized staff see clients physically and virtually from our beautiful east end Toronto clinic.


We are looking for an experienced person with great energy, who loves engaging with customers and genuinely cares about making them feel cared for.

The Client Experience Coordinator has a passion for wellness and working with women.

In this role, you will provide excellent client care to our clients along with timely and accurate administrative and operational support to the Yoga Mamas Wellness, movement and education team.

The focus is on the client experience within an efficient and busy wellness clinic.

To be a fit for this position you must have proven superior customer service experience and professional accountability.

Applicants will be asked about their understanding of our services offered and can tell us about why they are interested in women's wellness and more specifically, perinatal care.


Responsibilities:


  • Warmly greet all clients arriving and leaving
  • Answer multiline phones
  • Online fitness and education reservations and inclinic appointments and scheduling: book, modify and cancel reservations; familiarity with scheduling and balancing multiple room schedules, processing payments and scheduling future reservations
  • Making clients feel welcome in our lounge while maintaining all health and safety, and cleanliness protocols
  • Monitor client activity in the lounge ensuring wellness practitioners are running on time
  • Facilitating sales and driving revenue by educating our clients on the variety of wellness, movement and educational services we offer by staying up to date on all of our business offerings
  • Administering clinic and studio tours to new clients, including helping clients navigate our online platforms
  • Assist in managing treatment rooms, including cleaning, and stocking inventory as necessary
  • Wellness appointments scheduling: book, modify and cancel appointments; familiarity with scheduling and balancing multiple practitioner schedules, including late patients; ability to learn appointment/booking software.
  • Perform other administrative duties such as: creating and verifying information in client accounts, verifying insurance claims, scanning and filing, printing
  • Receive and manage inventory and retail shipments: inputting and managing inventory levels, pricing and displaying merchandise, processing transactions
  • Ensure reception area and waiting room are clean, beautiful and photoready at all times
  • Crosstrain in all areas of the front desk and assist in these areas when assigned or as needed: back office and operations
  • Support General Manager with projects and communicates progress and completion
  • Other duties as assigned

Qualifications and Attributes:

  • Minimum of 2 years experience in an inperson customer service role
  • Minimum of 1 years experience in an administrative role
  • Experience in a health clinic preferred
  • Experience with Jane App preferred
  • Experience with Mind Body Online preferred
  • Demonstrated sterling customer service skills
  • Personal or professional experience in pregnancy / women's health preferred
  • Confidence in sales and expressing the value of the services we offer
  • Proficiency in Google Docs and Gmail
  • Ease working with mínimal supervision, while taking the initiative to ask for guidance if needed, and followthrough with tasks
  • Superior verbal and written communication skills (grammar, spelling, inclusive language, etiquette etc.)
  • Maturity in handling sensitive and confidential situations or information
  • Demonstrated superior organizational and time management skills
  • Comfortable switching gears at a moment's notice while maintaining laserfocus; adaptable and agile
  • A positive, thoughtful team player with a positive outlook on life who is ready to roll up their sleeves, a proven team player
  • Professional appearance and excellent attitude
  • Ability to speak with candour, clarity, and kindness
  • Ability to lift up to 30 lbs if needed for inventory and room maintenance
