Location

  • Carecor Toronto office, with a hybrid remote work plan after about 10 weeks of training in our Toronto Office.
Job Status

  • Fulltime, permanent
Hours of Work

  • 8hour shift within Toronto office business hours. On call rotation for replacement of scheduling coordinators due to absence. As well as support the team with scheduling concerns with Healthcare Providers. Business hours 5am12midnight 7 days a week. (including Stat holidays)

Responsibilities:


  • Assists Manager Staffing Office in creating and maintaining a highquality work environment so team members are motivated to perform at their highest level
  • Oversees the daily supervision of Scheduling Coordinators
  • Works with Manager Staffing Office to implement monthly schedule for staffing coordinators,
  • Assists Manager Staffing Office to provide orientation and mentorship for newly hired Scheduling Coordinators
  • Establish and develop strong working relationships with client's scheduling team through networking and collaboration
  • Prioritize daily scheduling needs and assignments daily
  • Making inbound and outbound calls to healthcare facilities and healthcare providers
  • Document and update staff availability, encourage healthcare providers to manage availability via the online scheduling system
  • Offers out available staff to facility units
  • Reports initial ongoing healthcare provider concerns to Healthcare Staffing Supervisor
  • Reports concerns to Manager of Attendance for Attendance Review Management
  • Processes weekly (Monday, or Tuesday if a statutory holiday) review of the payroll timecards and sends completed review to Manager Staffing Office and Director Client Services prior to submitting to payroll department for processing
  • Responds daily to and assist with invoice inquiry resolution once concern is generated by payroll department, healthcare provider, or facility
  • Reviews scheduled hours every Thursday and Friday to check for overtime (OT) hours of healthcare providers
  • Organizes and conducts orientation of new Scheduling Coordinators during the probationary period
  • Conducts daily, weekly, monthly performance evaluations for Scheduling Coordinators
  • Participates in weekly Staffing Office meetings and leads the meeting in the absence of the Manager Staffing Office and takes meeting minutes
  • Administrative duties as needed

Job Qualification

Minimum Qualifications

  • Must have a minimum of 1 year of direct supervisor experience
  • Experience using scheduling software programs.
  • Familiarity with health care settings and the staffing industry.
  • Must be proficient in Word, Outlook, Excel, etc.
  • Proven attention to detail within a fastpaced environment (accurate and fast typing is essential).
  • Excellent customer service skills and a personable, outgoing, professional manner.
  • Demonstrated, multitasking, taking initiative and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Excellent judgment and discretion.
  • Works well under pressure.
  • Highly organized and efficient time management skills.
  • Must be able to pass job related test.
  • Excellent attendance record
