BILINGUAL RECEPTIONIST & ADMINISTRATIVE ASSISTANT - FULL-TIME


French Ministry of Education, Alberta Education, and CAIS accredited French bilingual school of about 450 students total, is seeking a full-time Bilingual Receptionist & Administrative Assistant.


Founded in 1966, Lycée international de Calgary (formerly Lycée Louis Pasteur) is a non-denominational independent French international school providing a challenging and stimulating bilingual education within a multicultural and multidisciplinary environment.

We are Calgary's premier French School, the only pre-K to Grade 12 school in Western Canada, both accredited by the French Ministry of Education and Alberta Education.

As a member of the AEFE, we are part of a network of over 500 schools in about 140 countries.


JOB SUMMARY


Reporting to the Office & Student Services Coordinator, the Bilingual Receptionist & Administrative Assistant will contribute to the administrative team by providing support and performing duties imperative to the function of the Lycée.


JOB DUTIES
The duties of the Bilingual Receptionist & Administrative Assistant include, but are not limited to:

  • Welcome guests, parents, and visitors professionally and cheerfully;
  • Ensure excellent customer service provided to all the guests, students and staff
  • Respond to requests for information from personnel, students, parents, and the public
  • Provide service and support to the parents, students, faculty and administrative staff
  • Update parents, students, and staff with any new information they need;
  • Coordinate subbing requests for faculty absences
  • Arrange replacements for faculty absences;
  • Input student absences into the student database quickly and accurately
  • Maintain student records and files
  • Update student information electronically;
  • Administer minor first aid to students
  • Receive, send, and distribute mail;
  • Assist with purchasing and distribution of general school supplies and special orders
  • Maintain a stock of general forms;
  • Assist with supporting special events e.g. parentteacher interviews, staff meetings, board meetings, fundraising events, etc.
  • Ensure the tidiness of the reception area and administration kitchen
  • Prepare reports and complete tasks as requested;
  • Other clerical support as needed

QUALIFICATIONS

  • 2 years in a similar administrative role
  • Fluent (speaking, writing, and reading) in French and English
  • Intermediate to advanced knowledge of Google Suite, MS Office and databases
  • Has fine attention to detail and prides themselves on accuracy
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
  • Selfstarter, able to establish priorities and organize daily workload with mínimal direction
  • Multi Tasks efficiently, operates proficiently in a team setting, with the ability to meet defined deadlines
  • Able to work calmly under pressure

Other requirements

  • Regular Schedule Start Date: September
  • Canadian Citizen, Permanent Resident, or Valid Work Permit holder without restrictions.


This position occasionally requires physical labour such as squatting, lifting, and moving objects in order to prepare Admissions-related events onsite.
