Do you consider yourself organized, client oriented and keen about connecting with various stakeholders? iA Private Wealth has a new opening for a receptionist, and we would love to hear from you.


Reporting to Director, Business Transition & Support, Business & National Sales, the receptionist will primarily be responsible for managing all incoming calls and inquiries to the reception desk with an emphasis on service and quality.

This role plays an integral part towards our goal of providing IAPW clients with industry leading service excellence.

Working closely with the transition team to on-board new hires to the firm, some of the other essential functions include:

  • Greet all visitors and guests in a cordial and professional manner.
  • Answer all calls in a courteous manner and efficiently transfer them to the appropriate department or individual.
  • Ensure all company faxes are processed effectively and distributed in a timely manner.
  • Maintain and update HO phone book.
  • Register and manage all guest passes.
  • Exercise excellent judgement and decisionmaking skills when dealing with all issues at the reception desk which following proper processes and procedures.
  • Manage all office supplies ordering, ensuring orders are placed accurately and delivered in a timely manner.
  • Schedule and coordinate arrangements for multiple conference rooms including cleaning, logistics, meals, and room setups for meetings.
  • Responsible for ordering and maintaining office stationery supplies as well as office coffee/beverages supplies.
  • Sorting and distributing all incoming mail and packages as well as arranging couriers.
  • Processing all facilities maintenance requests.
  • Process multiple incoming invoices and distributing to the appropriate A/P
  • Providing cross coverage to other reception desks when needed.
  • Work as a liaison between the IT department and Operations, focusing on ensuring mínimal disruption to daily work.
  • Documenting all incoming Cheques and CERTS for the advisors and sending them out to the cash management team for deposits

Other administrative duties include:

  • Sending out onboarding and off boarding packages to advisors that are looking to hire/depart unlicensed assistants.
  • Conducting background checks on all new advisors hires.
  • Work as a liaison between advisors and MySupport team to set up new hires systems.
  • Making sure new hire is set up with Payroll if the advisor requires payroll services.
  • Update on boarding tracker using excel.

- task a variety of tasks and responsibilities within required deadlines.

  • Postsecondary education an asset.
  • Excellent time management skills.
