Description

Do you thrive off of supporting and coordinating multiple projects in both official languages? Our Capacity Building and Innovation team is looking for a Program Administrator to help with the day to day activities such as creating and adjusting project schedules, work plans etc.

to help them meet the organization / program goals Does this sound like your ideal day to day role?

In this role you would be empowered and tasked with processing applicants from across Canada. You would tracks progress against program/project plans and specific targets, deliverables, and activities.

We would ask that you proactively identifies any areas where there is a risk of not meeting milestone deadlines, targets and /or seem room for process changes.

Be innovative You would get the opportunity to pull reports, analyze the data and see the big picture of the projects you are working on in comparison to the company and programs goals.

What will you be doing?

  • Creating, maintaining and populating project filing system and controls inventory of reports, brochures, and collateral materials.
  • Answering or directing requests and inquiries from the public where applicable (not media).
  • Preparing and distributing electronic and hard copy program information kits.
  • Undertaking various administrative tasks to support ICTC as needed.
  • Responding to telephone, written or facetoface requests for information.
  • Supporting the team leader in various tasks, while also working closely with the Team Lead to ensure alignment with overall team and organizational goals.
  • Supporting manager in the creation and maintenance of partnership agreements.
  • Conducting prospecting calls for various initiatives.
  • Escalate issued where needed.
  • Adding, tracking, updating, maintaining database of relevant contacts, followups and activities, ensuring the necessary information is recorded.
  • Scheduling and participating in followups and evaluation; coordinates survey and collates results for reporting.
  • Proactively working with internal staff to collaborate on ICTC activities, share information, provide updates and engage staff and others for input and support.
  • Disseminating information and resources to partners and stakeholders to enhance their knowledge of ICTCs products and tools.
  • Contributing to the development and implementation of innovative and costeffective strategies for ICTC.
  • Maintaining sector, product, program and organizational knowledge for multiple products and projects, to spot and troubleshoot problems or issues and to keep information and knowledge continually uptodate.
  • Other duties as assigned by one's manager

Do you have the following knowledge?

  • Working knowledge of Canada's postsecondary education system
  • Strong knowledge of processes and systems for scheduling, document management, events planning, and customer relationship management.
  • Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel).
  • Working knowledge of social media and internet marketing tools.
  • Knowledge of project management principles and methodology.
  • Contract administration; PO processes

What we are looking for

  • A postsecondary graduate in Education, Business, Social Sciences/Arts/Humanities, Management or a related field of study.
  • 2 years' experience working on educationfocused initiatives or 5+ years providing program coordination, with demonstrated success in setting and achieving program targets.
  • Fluently bilingual (English and French)
  • Strong willingness to participate in teams & share knowledge to advance ICTC.
  • Ability to engage and influence people; make cold calls, represent ICTC.
  • Organized selfstarter and have an excellent ability to work on multiple projects with multiple individuals and adapt to changing priorities.
  • Commitment to diversity and inclusion and understanding of the issues and challenges faced by diverse groups.
  • Able to take initiative, anticipate next steps and offer recommendations and solutions.
  • Ability to maintain professionalism and respond effectively to sensitive inquiries or complaints.
  • Excellent written and oral communication skills to present ICTC in a professional manner, interface and communicate effectively with senior and diverse audiences, and prepare and proofread communications.
