Essential Duties and Responsibilities:
- Development Planning_
- Assist with municipal development approvals including site plans, zoning bylaw amendments and building permits.
- Assist with the compilation and review of all materials necessary for outgoing proposals.
- Coordinate and tracking of site plan approval processes.
- Create subcontracts, change orders, and purchase orders.
- Coordinate with the accounting department to ensure payment to consultants when necessary.
- Draft letters and edit outgoing correspondence.
- Track municipal development cost charges in all relevant markets.
- Compile and review all market reports.
- Schedule meetings, take minutes/notes, and undertake necessary followups.
- Assist onsite evaluation process for land acquisitions.
- Support senior development team members and complete administrative tasks as required.
- Project Accountability and Responsibility_
- Provide administrative support as required to the development team to assist with various projects and assignments.
- Attend internal project meetings, take minutes, and distribute minutes.
- Develop and maintain project files
- Administration of project correspondence, filing, record keeping, etc.
- Prepare and facilitate requests for proposals as required for project specific tasks.
- Prepare and distribute updates and reports.
- Organize and assist with community engagement initiatives for development projects.
- Coordinate with accounting on invoices, tracking and processing internal fee requests.
- Record, code, and review incoming invoices for accuracy and completeness. Manage and actively track the internal invoices. Followup on cheque requisitions.
- Review consultant and contractor/supplier proposals and prepare consultant and contractor/supplier agreements in conjunction with the development lead.
- Manage tracking of various agreements.
- Take initiative to followup on outstanding deliverables to ensure invoices and other tasks are processed within established timelines.
- Other duties as assigned.
Knowledge and Skill Requirements:
- 12 years' experience.
- Valid drivers' licence and reliable access to a vehicle.
- Highly organized and methodical thinker.
- Background in construction, real estate, planning and development an asset.
- Knowledge of municipal review and approval process.
- Ability to read and understand architectural and civil drawings.
- Ability to read and understand purchase and sale agreements.
- Excellent computer skills and must be proficient with Microsoft Word, Excel, PowerPoint, and Acrobat Pro.
- Strong work ethic.
- Thrives in a fastpaced, high pressure environment.
- Excellent verbal and written communication skills.
- Ability to tackle issues and create solutions.
- Strong attention to detail.
