PLEA Community Services is currently seeking an
Excluded Full-Time Accounting & Facilities Assistant for our Finance team located in Vancouver, BC.

The proposed start date for this position is as soon as possible.

The Accounting & Facilities Assistant supports the Finance team in completing accounts payable and other data entry responsibilities. They also provide administrative support to the Facilities and IT department.

Hours of Work:

The _usual_ hours of work in this position are Monday to Friday from 8:30AM to 4:30PM, based on 37.5 working hours per week.


Minimum Requirements:

One (1) year of post-secondary education in business, accounting, office administration or a related discipline, and the completion of a high school diploma.

What You Will Do:


  • Assist with the completion of the accounts payable responsibilities, such as processing accounts payables, paying vendors within the agreed period, and following up to resolve discrepancies with suppliers.
  • Assist with the administration of biweekly payroll as directed.
  • Assist members of the Finance team with the yearend audit preparation. Maintain accounting records for audit. Provide documents to auditors during audit field testing.
  • Provide administrative support to the Facilities and IT department, including but not limited to:
  • Coordinating equipment/software and building security/access when an employee is hired or exits the agency or in time with schedule/role changes.
  • Orienting new hires to the agency's IT systems and supporting employees with basic IT inquiries.
  • Relaying information to third parties as necessary to resolve IT and/or building maintenance issues.
  • Coordinating with vendors/contractors as directed.
  • Assisting with the review of quotes and providing input on the selection of vendors within budget constraints.
  • Attending various PLEA offices and relaying reported building/IT concerns to the IT and Facilities Administrator.
  • Entering data into electronic accounting software/expense reimbursement platforms.
  • Provide backfill coverage for the Facilities & IT Administrator when required.
  • Participate in the development and review of policy and procedures guiding IT and facilities management as assigned.
  • Enter data, file documents, and complete ad hoc reporting (for PLEA and PLEArelated business entities) as assigned.
  • Ensure that all records, reports, and documentation pertaining to financial management are accurate, complete, safely stored and in compliance with PLEA's policies and procedures.
  • Protect and uphold confidentiality.
  • Perform other related duties as required.
