Description
The Specialized Consultation Team provides direct consultation, assessment and treatment services to children, youth, and families.

The Team provides supervision to students at different levels of training and consultation to staff/community partners across disciplines and services.


The Program Assistant reports to the Manager of Specialized Consultation, supports ROCK's Psychology Program, Residency Program and the evolving CYMH Review Table.

Please note that this is a
part-time, permanent position, working 17.5 hours weekly.

RESPONSIBILITIES

  • Provide program support, including but not limited to, scheduling appointments and meetings, responding to general inquiries, filing, mailing reports and resources, photocopying, scanning, faxing, and organization of meeting space for internal events.
  • Ensure that clients are prepared to receive Consultation and Assessment services by connecting with clients/caregivers and ensuring that all relevant consents, prior reports and necessary information has been obtained and placed on the file.
  • Organize assessment tools and protocols. Keep track of inventory and order protocols when needed.
  • Gather information related to client satisfaction (e.g., track closed clients and send out links to Client Satisfaction Survey)
  • Attend monthly Team meetings and record minutes.
  • Support accreditation preparation and sitevisits as required
  • Provide support with external assessment contracts as needed (e.g., preparing documentation, tracking progress and invoices etc.).
  • Provide support in communicating with community partners and stakeholders.
  • Organize and manage raw data (e.g., monitoring when it needs to be deleted)
  • Manage requests for personal health information, including access to copies of reports.
  • Participate in ongoing QI cycles to work towards welldefined goals that support the organization.
  • Support other ROCK programs and committee, both internally and externally, as required.
  • Operationalize client safety through adhering to established policies and guidelines that ensure consistency in the delivery of quality and safe care and, by identifying and reporting any client safety incidents.
  • Abide by the specific requirements of Section 28 of the Occupational Health and Safety Act, as well as any further health and safety responsibilities as outlined in the agency policy and procedure documents.
  • Other duties as may reasonably be assigned.

QUALIFICATIONS

_ Education:
_


  • Postsecondary education in a related field.
  • Courses or education in Psychology is considered an asset.

_ Experience:
_


  • A minimum of oneyear experience in administrative support.
  • Previous experience in a social services setting preferred.
  • Experience and comfort providing support to clients over the phone would be considered an asset.
  • Experience working from a virtual platform.
  • Demonstrated competence with data entry and the utilization of a client information system.

_ Skills:
_


  • Proven ability to provide an optimal customer service experience.
  • Excellent interpersonal skills and collaboration skills.
  • Ability to interact with staff at all levels and maintain effective working relationships.
  • Ability to take initiative and work both independently and collaboratively as part of a team.
  • Excellent organizational and administrative skills, including strong attention to detail with commitment to high quality work.
  • Demonstrated proficiency with MS Office Suite programs at an intermediate level (i.e., Word, PowerPoint, Excel).
  • Familiarity with Caseworks is an asset.

  • Evening hours may be required.
  • Travel between all ROCK offices may be required.
  • Requires flexibility and adaptability to be reassigned to different sites at a moment's notice.
  • Proficient in the use of technology as required of the position, including working in a virtual environment, with MAC OS operating system experience preferred.
  • A current (within three months) criminal reference check with vulnerable sector search.
