ASSISTANT:
These two positions work in tandem as onsite liaisons between school and Gaspard throughout each convocation Gaspard supports.

Both are responsible for coordinating all aspects of the regalia distribution process for graduates and faculty including:

unpacking and staging bulk-shipments of regalia, distributing and electronically scanning regalia for inventory control and invoicing, repacking and return-shipping regalia at the conclusion of each ceremony, and managing, organizing and controlling between 5 and 15 student gown attendants that are hired to assist with the regalia distribution process.

Responsibilities & Expectations:

  • Lead a team of gown attendants each day, and schedule lunches and breaks.
  • Train gown attendants on the process of unpacking regalia, organizing it by category before the ceremony, and on hanging it on display racks according to ceremony time and location. Ensure gown attendants report on time and register for work every day.
  • Set up Gaspardprovided equipment for electronically scanning regalia and recording onsite payments from graduates and faculty. Be comfortable in operating a laptop computer, credit card transaction device, electronic scanner and chargers.
  • Be responsible for managing the distribution and return of regalia through a standardized process. Repack returned regalia in boxes for pickup by a designated shipper. Ensure boxes for return shipment are properly labeled and staged for pickup.
  • Manage graduate traffic flow in an organized and efficient manner while minimizing wait times and long lines for regalia pickup and return throughout the ceremonies. Be prepared for late arrivals. This process should be prompt and accommodating.
  • Answer logístical questions from university officials, gown attendants, graduates, and faculty throughout the ceremony. Train gown attendants on how to field popular questions, and on how to serve graduates and faculty efficiently and courteously.
  • Train gown attendants on the work they will be responsibilities throughout the distribution process, and on how to secure assistance.
  • After gowns are distributed, have gown attendants clean and tidy the workspace at each ceremony and at the end of the workday.
  • At the conclusion of each distribution cycle, reset gowns, hoods, and other regalia for the following ceremony.

Requirements:


  • High School Diploma
  • Lead/supervisory experience
  • MS Word, Outlook experience
  • Ability to learn and work with payment machines/scanners/laptop

Training Requirements:

Responsible:

  • Product and logistics training onsite during live ceremonies Gaspard Lead & Assistant
  • Available to train for 2 days 8 hours per day Gaspard Lead & Assistant

Other Requirements:

  • Able to communicate with school or Gaspard via mobile phone during ceremonies.
  • Available to travel, stay at hotels and eat meals in restaurants near convocation events Gaspard reimburses all expenses.
