Essential Functions / Major Responsibilities:


  • Greeting and assisting walk in visitors.
  • Answering the telephone and forwarding calls to staff members.
  • Ordering the office supplies and maintain office supplies room
  • Receiving and distributing all incoming mail, daily.
  • Perform related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying.
  • File A/P & A/R invoices
  • Process credit card payments from customers
  • Assist with coding, totalling, entering, verifying and reconciling transactions for all cash receipts in a computerized ledger system.
  • Assist with coding, totalling, batching, entering, verifying and reconciling transactions for all accounts payable with purchase orders, packing slips, invoices, and bank statements in a computerized ledger system.

What we're looking for:


  • High School Diploma
  • 13 years' experience working in a clerical office position.
  • Proficiency in Excel and MS Outlook
  • Experience in filing systems and accounting computer software programs.
  • Ability to communicate effectively with all levels of staff, including coworkers, Managers, Directors and clients.
  • Excellent oral and written communication skills
  • Excellent organizational skills
  • Ability to read and interpret documents such as sales orders, invoices, packing slips, bank statements, quotations, operating instructions, safety rules and procedure manuals.
  • Ability to deal with problems involving highly complex and varied tasks requiring independent knowledge applied in a variety of situation. This position is mainly sedentary activities with occasional stress from deadlines and multiple tasks during peak or rushed periods.
