Reports to the Executive Director and Manager of Administrative Services/Executive Assistant to the CEO and Supports members of the Spencer Home Leadership Team (Executive Director, Director of Care, Director of Support Services & Human Resources Department).
Duties of the Administrative Assistant include providing support to the Executive Director and his/her managers and employees, assisting in daily office needs and managing Kenneth E.
Spencer Memorial Home Inc. general administrative activities.Qualifications:
- Excellent oral and written communication skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in Microsoft Office Software (Outlook, Excel, Word, PowerPoint in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problemsolving skills
- Strong organizational skills with the ability to multitask
- High School Diploma
- Postsecondary education in a relevant program (at least one (1) year program)
- Demonstrated history of strong attendance and the ability to work independently with limited supervision
Administrative Assistant Responsibilities:
- Handles administrative requests and queries from Directors and Managers
- Ensure the efficient and smooth daytoday operation of the Administrative Office
- Organize and schedule appointments with support from office/admin software
- Schedule and attend meetings for management team and take detailed minutes (Labor Management, Professional Practice, Occupational Health & Safety, as well as others as requested by Executive Director or designate)
- Support the development of organizational policies under the direction of the Executive Director (Policy development and approval is a function of the CEO's office; thus, all policy modifications, prior to implementation, have to be reviewed and approved through the Executive Assistant to the CEO).
- Make travel and meeting arrangements, prepare reports and maintain appropriate filing systems.
- Answer and direct phone calls
- Ensure an efficient and effective use of company financial resources through researching of new deals and suppliers
- Submit and reconcile expense reports on behalf of the ED ensuring compliance to organizational policies
- Act as the point of contact for internal and external clients, vendors, etc.
- Liaise with Executive Assistant to the CEO to handle requests and queries from the Senior Leadership Team
- Support Manager of Administrative Services/Executive Assistant to the CEO with site specific projects
